Job Summary

We are looking for a well-presented, confident, warm, and professional Receptionist to be the first point of contact for our clients.

The ideal candidate should have excellent communication skills, a pleasant personality, strong customer-service orientation, and the ability to manage front-desk operations efficiently in a premium aesthetic clinic environment.

The role requires someone who can welcome clients professionally, manage appointments, coordinate with doctors and counselors, handle calls and inquiries, and ensure a smooth client experience from arrival to departure.

Key Responsibilities

• Greet and welcome clients with a warm, professional, and positive attitude.
• Manage the reception/front desk and maintain a premium clinic environment.
• Handle incoming calls, WhatsApp inquiries, and basic client queries professionally.
• Manage and coordinate appointments, consultations, follow-ups, and rescheduling.
• Register new clients and maintain accurate client information.
• Coordinate with doctors, therapists, counselors, and the sales team regarding client appointments and schedules.
• Ensure clients are attended to promptly and guide them through the clinic experience.
• Maintain the daily appointment schedule and minimize waiting time.
• Confirm upcoming appointments and follow up with clients regarding scheduled visits.
• Handle walk-in clients and coordinate their consultations.
• Assist with billing, payment coordination, receipts, and basic administrative tasks when required.
• Maintain accurate records in the CRM or clinic management system.
• Coordinate with the sales team to ensure leads and client inquiries are properly followed up.
• Assist in promoting relevant clinic offers, packages, memberships, and services when appropriate.
• Handle client concerns politely and escalate complaints to the appropriate manager when required.
• Maintain confidentiality of client information and clinic records.
• Ensure the reception area and client-facing spaces remain organized, clean, and presentable.
• Support the Center Manager with day-to-day administrative and front-office activities.

Key Skills & Requirements

• 1–3 years of experience in reception, front office, customer service, hospitality, beauty, wellness, healthcare, or an aesthetic/dermatology clinic preferred.
• Excellent verbal communication and interpersonal skills.
• Pleasant, confident, and professional personality.
• Strong customer-service and relationship-management skills.
• Good English and Hindi communication skills.
• Presentable and well-groomed appearance.
• Good organizational and time-management skills.
• Ability to multitask and manage multiple clients and appointments.
• Basic computer and CRM knowledge.
• Ability to remain calm and professional while handling difficult or demanding clients.
• Strong attention to detail and punctuality.

Educational Qualification

Graduate / Undergraduate with relevant experience.
