Job Title: Executive Assistant to Chief Executive Officer Department: Executive Office / Corporate Reports To: Chief Executive Officer (CEO) Job Summary: The Executive Assistant to the CEO provides high-level administrative support to the Chief Executive Officer by handling a wide range of tasks to ensure efficient operation of the CEO’s office. This position requires discretion, strong organizational skills, and the ability to interact with staff and external stakeholders at all levels in a fast-paced environment. Key Responsibilities: Executive Support: Manage and maintain the CEO’s calendar, including scheduling appointments, meetings, travel, and conferences. Act as the first point of contact between the CEO and internal/external stakeholders. Prepare and organize briefing materials, reports, presentations, and correspondence for executive meetings. Screen and direct phone calls, emails, and other correspondence to appropriate departments. Meeting and Communication Management: Coordinate high-level meetings, including preparation of agendas, minutes, and follow-up actions. Attend meetings with or on behalf of the CEO when required and ensure timely dissemination of meeting outcomes. Maintain strong communication channels between the CEO’s office and departments, clients, or partners. Confidential and Strategic Support: Handle sensitive and confidential information with integrity and discretion. Assist with business analysis, strategic initiatives, and executive projects as assigned by the CEO. Support in drafting internal memos, reports, and presentations. Administrative and Office Management: Ensure smooth day-to-day operations of the CEO’s office. Liaise with departments, external vendors, and senior-level managers. Arrange logistics for domestic/international travel, accommodations, and event participation. Qualifications and Skills: Bachelor’s degree. Excellent written and verbal communication skills. High level of professionalism and confidentiality. Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint). Strong time management, multitasking, and organizational skills.
