About the Role

We are looking for a proactive, organised, trustworthy, and enthusiastic individual to provide comprehensive personal, professional, and business operations support.

This is a versatile role for someone who can independently coordinate daily activities, manage projects, oversee ongoing work, handle professional communications, and ensure that responsibilities are completed smoothly and on time.

The role involves working closely with the employer across business operations, professional commitments, outreach, scheduling, research, submissions, and administrative responsibilities. The successful candidate will help keep everything organised, maintain clear communication, track progress, and take initiative without requiring constant supervision.

Key Responsibilities

1. Personal & Professional Coordination

• Manage schedules, appointments, reminders, and follow-ups.
• Coordinate professional opportunities, applications, profile submissions, and communications.
• Conduct research and identify relevant contacts, organisations, and opportunities.
• Track submissions, responses, deadlines, and next steps.
• Coordinate meetings, visits, and other professional commitments.

2. Business Operations & Project Management

• Coordinate multiple business activities and projects across different areas.
• Track tasks, deadlines, priorities, and deliverables.
• Monitor ongoing work and ensure timely follow-ups and completion.
• Identify operational gaps, resolve routine issues, and recommend improvements.
• Maintain organised records, reports, and project trackers.

3. Communication & Outreach

• Make professional calls, cold calls, and follow-up calls.
• Draft emails, send reminders, and communicate with external contacts.
• Coordinate submissions and maintain records of responses and outcomes.
• Represent the employer professionally and respectfully.

4. Administration, CRM & Digital Tools

• Maintain spreadsheets, contact databases, CRM records, and documents.
• Organise information and ensure records remain accurate and up to date.
• Use digital tools, automation, and AI assistants to improve efficiency.
• Prepare regular progress updates and highlight pending priorities.

5. Independent Execution & Accountability

• Take ownership of assigned responsibilities from start to completion.
• Anticipate requirements and take initiative without waiting for repeated instructions.
• Manage multiple priorities calmly and efficiently.
• Keep the employer informed about progress, challenges, and important decisions.
• Handle confidential information with integrity and discretion.

Requirements

• Strong English communication; Hindi proficiency is an advantage.
• Basic to good computer skills, including email, spreadsheets, and digital tools.
• Familiarity with CRM systems, project management, or administrative coordination is desirable.
• Ability to manage multiple responsibilities and work independently.
• Willingness to work full-time in person in Mumbai.

Preferred: A valid four-wheeler driving licence and the ability to drive a car for local travel and assignments.
