Role Overview

The Parcel Department is responsible for the safe, accurate, and timely packing, documentation, and dispatch of high-value jewellery consignments. Every parcel carries significant value and our customers’ trust, so this role demands accuracy, integrity, and attention to detail.

Key Responsibilities1. Order Verification and Picking

• Receive confirmed orders from the sales and billing team and cross-check them against invoices or challans.
• Verify design codes, quantity, weight, and purity (as applicable) before packing.
• Pick the correct items from stock and ensure nothing is missing or mismatched.
• Report any discrepancy in stock, weight, or quantity to the manager immediately.

2. Packing

• Pack chains, kadas, bracelets, and sets securely using appropriate materials (pouches, boxes, bubble wrap, tamper-proof seals).
• Ensure delicate or finished pieces are protected from tangling, scratching, and damage in transit.
• Maintain a record of what was packed in each parcel, including piece count and weight.

3. Documentation

• Prepare and attach invoices, delivery challans, and e-way bills where applicable.
• Maintain accurate dispatch registers (daily and monthly), either manual or digital.
• Record courier or transporter name, docket number, date, destination, and declared value for every parcel.
• Keep copies of proof of dispatch and proof of delivery on file.

4. Courier and Logistics Coordination

• Coordinate with insured jewellery couriers, angadia services, and transport partners for pickups and dispatch.
• Ensure parcels are declared and insured correctly as per company policy.
• Share tracking details and dispatch confirmations with the sales team and customers.
• Follow up on delayed, undelivered, or disputed consignments until resolved.
• Handle returns, exchanges, and approval-memo parcels, with proper checking and documentation on receipt.

5. Security and Compliance

• Follow strict security protocols for handling high-value goods.
• Never leave stock or parcels unattended; ensure items are locked away after hours.
• Maintain a verified handover record at each stage (stock to packing, packing to courier).

6. Inventory and Record Coordination

• Update stock records after each dispatch.
• Reconcile daily dispatches against billing and sales records.
• Maintain inventory of packing materials and raise requisitions in time.

7. Customer and Internal Communication

• Coordinate with the sales, accounts, and billing teams on urgent or priority orders.
• Provide status updates on parcels when asked.
• Maintain a professional, courteous approach with courier staff, customers, and colleagues.
