Job Title: Executive Assistant– Institutional Coordination & Operations Location: Office of MP, Janpath Marg, New Delhi (Delhi local candidates preferred; non-locals must be willing to relocate to Delhi) About the Role- We are looking to hire a sharp, dependable, and well-spoken Executive to support its institutional operations. This role sits at the frontline of coordination with Ministries, PSUs, government institutions and other private organisations and plays a critical role in ensuring timely follow-ups, documentation, and internal coordination. The position is open to freshers with strong communication skills and professional maturity, as well as candidates with prior experience in administrative or coordination roles. Key Responsibilities Institutional Follow-ups & Coordination (Core Responsibility) • Conduct structured follow-ups with Ministries, PSUs, and government departments via email, phone, and in-person interactions where required. • Track movement of proposals, pilot requests, approvals, and payment-related communications. • Maintain professional communication and institutional etiquette at all times. Documentation & Office Management • Take accurate meeting notes and prepare follow-up action points. • Draft and format official correspondence, emails, notes, and summaries using MS Word / Google Docs. • Maintain and update Excel and Google Sheets for tracking proposals, meetings, approvals, and timelines. • Assist in maintaining and updating company profiles, presentations, and basic decks. Operational Support • Coordinate internally with technical and management teams for information flow. • Support scheduling of meetings, presentations, and institutional visits. • Maintain structured records of communications and documents for audit and reference purposes. Professional Representation • Act as a polite, confident, and reliable point of contact for institutional stakeholders. • Use judgement, business sense, and discretion while dealing with sensitive information. • Escalate issues appropriately and ensure no follow-up is missed.
