Job Description

EXCELLENT written and spoken English is mandatory. You will be speaking with UK tenants, landlords and tradespeople on the phone every single day. If you have not worked with international clients, or your English is not absolutely excellent, please do not apply.

Who We Are

We're a small, family-run sales and lettings agency in North London. We look after around 90 rental homes, some for landlords who have been with us for twenty years. There are only a handful of us, so you won't be a number here. People work with each other, not for each other.

What It's Like to Work With Us

  • You own it.

The lettings desk is yours. When something lands on it, you see it through.
  • You're trusted.

How you organise your day is up to you. We care that things get finished, not how you got there.
  • You're backed.

Your first week is spent learning our systems, there is always someone to ask, and you get weekly check-ins for your first eight weeks.

The Role

UK Property Operations Coordinator (Remote)

This role is about ownership: when a job, a chase or a renewal lands on your desk, you see it through to closed, and nobody has to ask you twice.

Key Responsibilities

Answering enquiries and booking viewings:

  • Answer the office phone and reply to online enquiries from people looking to rent or buy
  • Before booking a viewing, check the person can afford the property and has the legal right to rent in the UK
  • Book viewings into the team diary and follow up afterwards for feedback

Getting new tenants moved in:

  • When someone wants to rent a property, agree the terms between them and the landlord and take a deposit to reserve it
  • Run background and ID checks on new tenants, and chase until they are complete
  • Send the tenancy contract and move-in paperwork, and register the tenant's deposit
  • Get the property ready for move-in day: cleaning, repairs, bills and key handover

Looking after landlords and tenants:

  • Be the first person tenants, landlords and contractors speak to when they call or message
  • Set up new landlords and properties, write the adverts, and keep landlords updated
  • When a tenant is leaving, arrange the final inspection and the return of their deposit
  • Schedule routine property inspections and write up what the local team finds

Repairs, from first report to finished job:

  • Own every repair from the moment a tenant reports it until it is fixed and the tenant knows it is done
  • Work out what is wrong, get a quote from one of our regular contractors, and get the landlord's approval before work starts
  • Arrange access, chase the contractor until it is done, and record the cost

Safety certificates and records:

  • Keep every property's safety certificates (gas, electrical, energy and licensing) up to date and renewed before they expire
  • Keep our records accurate and complete, so anyone can see the state of any property at a glance

What We're Looking For:

  • EXCELLENT written and spoken English: this is non-negotiable
  • You currently work with international clients (UK, US, Europe, Australia or similar)
  • A background in project management, stakeholder coordination or operations
  • Excellent English & Clear, Confident Phone Manner: comfortable giving good news and bad news on the phone, and calm with someone who is stressed or upset
  • Organisation & Prioritisation: can keep new tenancies, repairs and renewals for 85 to 90 properties moving at once, and deals first with whatever is about to go wrong
  • Persistent Chasing & Follow-Through: picks up the phone when someone has not replied, chases politely more than once, and lets everyone know when it is done
  • Attention to Detail & Process Discipline: gets names, addresses and dates right first time, and follows the process every time, even when a shortcut would be quicker
  • Ownership & Coachability: acts before being asked, learns new systems quickly from tutorials, and takes feedback once
  • Comfortable learning new software. We will train you on our systems in your first week
  • Available full time, Monday to Friday, UK office hours

Technical Requirements

  • Own laptop or desktop computer (minimum 16GB RAM)
  • Stable, high-speed internet connection
  • Smartphone for communication apps
  • Quiet, professional working environment
