Job Summary The role is responsible for the management, preparation, and organization of congress publication alerts, timing and events packs, abstracts, posters, and related congress/journal documentation. Key responsibilities include supporting the preparation and formatting of scientific materials, managing enquiries and encores, and assisting with the writing and adaptation of encore presentations. The role ensures all congress-related materials are accurate, timely, and compliant with relevant standards, supporting effective scientific communication and congress participation. This is an exciting role and would entail you to Congress Publication Alerts (Management): Monitor and manage alerts regarding new congress publications and scientific updates relevant to the organization. Distribute publication alerts promptly to internal stakeholders, ensuring timely awareness of key developments. Maintain an organized record of all alerts and related communications for future reference. Timing and Events Packs (Development/Review): Support the development and/or review of packs outlining key timings and events for congress attendance. Collaborate with team members to gather up-to-date event schedules, deadlines, and logistics. Ensure all packs are accurate, clear, and formatted according to company standards. Abstracts and Posters (Preparation/Formatting Support): Provide support in preparing and formatting scientific abstracts and posters for congress submission and presentation. Ensure adherence to congress guidelines and internal quality standards in all materials. Coordinate with authors and designers to resolve formatting or content issues. Congress/Journal Packs: Compile, organize, and maintain comprehensive packs for congress or journal submissions, including all required documentation and references. Format and proofread encore materials to meet both internal and external requirements. Congress Enquiries: Serve as a point of contact for enquiries related to congress activities, publications, and submissions. Managing Encores: Oversee the process for encore presentations, including identification, planning, and documentation. Ensure all encores are tracked and managed in line with company policy and congress guidelines. Encore and Adaptation Writing Work: Support the writing and adaptation of encore presentations and materials for new audiences or formats. Collaborate with scientific authors to ensure accuracy and clarity in adapted content. Format and proofread encore materials to meet both internal and external requirements. Hands-on experience with Salesforce, Power BI, PowerPoint, Excel, and Outlook for reporting, data visualization, and stakeholder communication. Advanced proficiency in Microsoft Excel (Power Query, Pivot Tables, complex formulas) for data cleaning, transformation, and analysis. Experience in cleaning and preparing data in Salesforce and exporting to Excel or Power BI for analysis and reporting.
