Overview The Business Support Executive will act as the bridge between management, production, and customers — ensuring every inquiry, quotation, and order (both domestic & international) is handled with accuracy, speed, and professionalism. This role combines sales coordination, project tracking, and client communication, supporting management in delivering a seamless order experience from quotation to dispatch. Designation & Reporting • Designation: Business Support Executive • Department: Sales & Business Development • Reports To: Senior Management / Director – Sales & Operations • Location: Chennai (Ambattur) • Employment Type: Full-Time, On-Site Key Responsibilities 🔹 Quotation & Sales Coordination • Assist senior management in preparing and issuing quotations for local and export customers. • Gather required product data (dimensions, specifications, weights, pricing, etc.) from relevant departments. • Ensure all quotations meet company standards in format, accuracy, and presentation. • Maintain a quotation log and follow up systematically on pending approvals and feedback. 🔹 Order Tracking & Project Management • Convert confirmed quotations into order execution plans — coordinate with planning, production, packaging, and logistics teams. • Create and maintain order tracking sheets with timelines, delivery status, and client updates. • Act as the primary point of contact for internal teams regarding order progress, changes, and requirements. • Proactively identify bottlenecks (production delays, material issues, etc.) and escalate to management with solutions. 🔹 Customer Communication & Follow-Up • Communicate with clients (via email/phone/WhatsApp) to update order status, documentation, and dispatch details. • Ensure prompt responses to customer inquiries, maintaining a professional and brand-aligned tone. • Coordinate with export documentation/logistics partners for shipments, invoices, and packing lists. 🔹 Data Management & Reporting • Maintain an updated database of all inquiries, quotations, and orders (CRM/Excel). • Generate weekly and monthly reports on quotation conversion, dispatch status, and customer follow-ups. • Support senior management in reviewing performance metrics and identifying improvement areas. 🔹 Cross-Department Coordination • Collaborate with Production, Design/R&D, Accounts, and Dispatch to ensure accurate order execution. • Track quality checks, packaging approvals, and special instructions for OEM/private label customers. Skills & Qualifications 🎓 Education • Bachelor’s degree in engineering, Business Administration, Commerce, or related field. • MBA or Diploma in Export Management is a plus. 💼 Experience • 1–3 years of experience in sales coordination, operations, project management, or export documentation. • Prior exposure to manufacturing or consumer goods industry preferred. 🧠 Technical Skills • Proficient in MS Excel, Word, and Google Sheets. • Knowledge of quotation templates, sales tracking tools, or CRM software. • Understanding of export documentation (Invoice, Packing List, BL, etc.) is a plus. 🤝 Soft Skills • Excellent written and verbal communication skills (English essential; Tamil/Hindi desirable). • Strong organizational and multitasking ability. • Attention to detail, ownership mindset, and proactive attitude. • Ability to coordinate across multiple departments and follow through without reminders. Performance Indicators • Accuracy and turnaround time of quotations. • On-time order completion rate. • Communication clarity and client satisfaction. • Internal coordination effectiveness. • Reporting consistency and data upkeep.
