We are looking for a detail-oriented and experienced Logistics Coordinator to manage daily logistics operations, transportation coordination, dispatch activities, shipment tracking, and documentation at our client's facility in Taloja.
The ideal candidate should have experience in logistics, supply chain, transportation, or dispatch operations, along with strong coordination, communication, and problem-solving skills. The candidate will be responsible for ensuring timely deliveries, efficient vehicle utilization, accurate documentation, and smooth coordination between warehouse, production, transporters, and customers.
Key Responsibilities1. Transportation & Logistics Management
- Coordinate daily transportation and logistics activities.
- Arrange vehicles according to dispatch schedules and delivery requirements.
- Coordinate with transporters, drivers, vendors, and logistics service providers.
- Ensure timely pickup and delivery of materials and finished goods.
- Monitor vehicle movement and shipment status to avoid delays.
- Maintain transporter contacts and negotiate transportation rates where required.
- Track vehicle availability and optimize transportation costs.
2. Dispatch & Shipment Coordination
- Plan and coordinate daily dispatches as per customer requirements.
- Coordinate with production, warehouse, and sales teams to ensure materials are ready for dispatch.
- Verify dispatch schedules, delivery locations, quantities, and shipment details.
- Ensure proper loading, unloading, and safe transportation of goods.
- Follow up with transporters and customers regarding delivery timelines.
- Resolve dispatch delays, vehicle shortages, and delivery-related issues.
3. Documentation & Record Keeping
- Prepare and maintain delivery challans, invoices, e-way bills, LR/GR receipts, and other transportation documents, as applicable.
- Verify shipment details and ensure documentation accuracy.
- Maintain records of vehicle details, transporter information, freight charges, and delivery status.
- Collect proof of delivery (POD) and ensure timely submission.
- Maintain dispatch registers and logistics reports.
- Coordinate with the accounts team for freight bills, transporter invoices, and payment follow-ups.
4. Inventory & Warehouse Coordination
- Coordinate with warehouse and stores teams regarding material availability.
- Ensure dispatches are aligned with inventory availability and production schedules.
- Monitor stock movement and material transfers.
- Assist in resolving discrepancies in dispatched and received quantities.
- Ensure proper documentation for inward and outward material movement.
5. Cost Control & Performance Monitoring
- Monitor transportation expenses and freight costs.
- Verify transporter bills against agreed rates and actual shipments.
- Identify opportunities to reduce logistics costs and improve operational efficiency.
- Maintain records of delivery timelines, freight expenses, and vehicle utilization.
- Prepare daily, weekly, and monthly logistics MIS reports.
6. Compliance & Safety
- Ensure transportation documentation is complete and accurate.
- Coordinate with transporters to ensure vehicle and driver documentation is valid.
- Follow company policies regarding material handling, transportation, and safety.
- Report damaged goods, transit losses, delivery discrepancies, and other incidents promptly.
7. Coordination & Communication
- Coordinate with production, procurement, warehouse, accounts, and sales teams.
- Communicate delivery schedules and shipment updates to relevant stakeholders.
- Handle transporter and customer queries professionally.
- Escalate operational challenges and implement corrective actions to minimize disruptions.
Required Qualifications
- Graduate in any discipline; a degree or diploma in Logistics, Supply Chain Management, or Operations will be an advantage.
- Proficiency in MS Excel and basic computer applications.
- Knowledge of logistics documentation, dispatch procedures, transportation management, and inventory coordination.
- Familiarity with ERP systems or logistics management software is preferred.
Experience Required
- Experience in logistics coordination, dispatch, transportation, or supply chain operations.
- Candidates with experience in manufacturing, steel, industrial goods, or warehouse operations will be preferred.
- Freshers with relevant qualifications and strong coordination skills may be considered if the employer is open to them.
