Our state-of-the-art 8,500 sq. ft. facility is equipped with modern amenities to ensure an exceptional experience for our customers. We are seeking a highly organized and proactive Administrative Officer to join our team and contribute to our mission of creating lifelong memories. Job Overview: The Administrative Officer will be responsible for ensuring the smooth operation of the studio by managing daily administrative tasks, coordinating schedules, and providing exceptional customer support. The ideal candidate will possess strong organizational and communication skills, with the ability to handle multiple tasks in a dynamic and creative environment. Key Responsibilities: Customer Coordination: Manage booking inquiries via phone, email, and in-person. Schedule photoshoot appointments and ensure customers understand the studio's policies and terms. Confirm bookings with 50% advance payments and balance payments before the shoot. Studio Operations: Maintain the studio’s daily schedule, ensuring timely sessions. Monitor the preparation of theme setups and ensure readiness before sessions. Oversee the cleanliness and organization of private rooms, dining spaces, and restrooms. Administrative Tasks: Maintain accurate records of bookings, payments, and customer preferences. Prepare daily, weekly, and monthly reports for studio operations. Coordinate with team members, including photographers and retouching artists, to meet project deadlines. Customer Service: Welcome customers and provide a friendly, professional experience. Address customer inquiries and resolve complaints promptly and effectively. Assist customers with additional service requests and ensure proper billing. Inventory and Supplies: Monitor and manage inventory of photography props, rental gowns, and other supplies. Order necessary items to ensure seamless studio operations. Team Collaboration: Act as a liaison between the creative and operations teams. Coordinate staff schedules and ensure team readiness for photoshoots. Qualifications and Skills: Any degree Strong organizational and time-management skills. Excellent verbal and written communication skills in English and Tamil. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Ability to multitask and work in a fast-paced environment. Friendly and approachable demeanor with a customer-focused mindset. Working Hours: 10:00 AM to 7:00 PM, Monday to Sunday (with one weekly off on a rotational basis).
