Job Summary: We are seeking a highly organized and professional Personal Secretary to provide comprehensive administrative and secretarial support to Managing Director. The ideal candidate will be proactive, discreet, and possess excellent communication and interpersonal skills. Key Responsibilities: * Administrative Support: * Manage calendars, schedule meetings, and coordinate travel arrangements. * Prepare and distribute meeting materials, presentations, and correspondence. * Answer and screen phone calls, emails, and other inquiries. * Maintain accurate and confidential records. * Operations Support: * Transcribe notes and prepare reports. * Conduct research and gather information as required. * Communication with the Vendors and Suppliers. * Meeting with Vendors, Suppliers and Customers as and when requiured. * Meeting with customes clearing agents. * Organise and schedule Shippments for export. * Generate Leads from Social Media Platforms. * Prepare documentations related to Exports like Invoices and Purchase Orders. * Maintain confidentiality of sensitive information. * Provide general administrative support as needed. Qualifications: * High school diploma or equivalent; Associate's or Bachelor's degree preferred. * Have experience as a Personal Secretary or in a similar administrative role. * Excellent communication and interpersonal skills, both written and verbal. * Strong organizational and time-management skills with the ability to prioritize tasks effectively. * Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). * Experience with scheduling and calendar management software. * Strong attention to detail and accuracy. * Discretion and ability to maintain confidentiality. * Ability to work independently and as part of a team. * Professional demeanor and strong work ethic.
