Location: Bangalore Reports to : Human Resources Employment type: Permanent Full Time Role Overview: The Admin Executive will oversee day-to-day administrative operations, ensuring smooth functioning of the office and providing cross-departmental support to Commercial, Engineering, HR and Finance. This role requires working closely with the CEO and CTO to address administrative needs, ensuring smooth operations and supporting organizational growth in a fast-paced start-up environment. Key Responsibilities: • Oversee daily office operations, facility management and housekeeping, ensuring smooth functioning of workplace utilities. • Handle incoming calls, emails, and correspondence in a professional and timely manner. • Arrange logistics for travel and accommodation, internal meetings, vendor visits, company events, and trainings. • Monitor and coordinate procurement of office supplies, consumables, and minor equipment and maintain petty cash. • Manage recurring monthly payments, including utilities, domain renewals, AMC contracts, software subscriptions, and telecom bills. • Provide QMS documentation support. • Organize and securely store physical and digital files, prepare and update delivery challans, installation reports. • Support HR in onboarding and offboarding processes including preparation of ID cards, administration of biometric access, email setup, asset allocation/retrieval, and employment agreement preparation. • Maintain employee digital records, attendance logs, and leave records. Qualifications and experience: • Bachelor’s degree in any discipline; certification in office administration or computer applications preferred. • 2 to 4 years of relevant experience in administrative or office management roles, preferably in a start-up environment. • Experience in vendor coordination and day-to-day office operations. • Proficiency in MS Office Suite (Excel, Word, PowerPoint) and computer applications. • Basic knowledge of IT hardware setup, printers, and troubleshooting common technical issues. Skills: • Strong computer literacy (Windows & Internet). • Advanced Excel, Word, and PowerPoint capabilities. • Strong organizational, multitasking, and problem-solving skills. • High attention to detail with effective time management in a fast-paced setting. • Excellent communication and interpersonal abilities. • Ability to work independently while maintaining confidentiality. Roles and Responsibilities: Understanding clinical principles and product usage through training and practice Understanding and explaining product benefits to clinicians and nurses Proactively meeting Stakeholders of Hospitals (Doctors & Clinicians, Biomedical Departments, ICU Nurses and Purchase Departments) to understand requirements and introduce our product & technology. Answering customer’s questions (clinical and technical) on how to use the product. Conducting device demos on patients. Generate & maintain a Product lead list to promote specific and appropriate product to clinicians through one-on-one conversation, dry demos and patient demos. Create and maintain connect with Hospital stakeholders (Doctors Clinicians, Biomedical Departments, ICU Nurses and Purchase Departments) by regular meetings and follow-up Achieve Sales Revenue Business Plan for the assigned territory Training nursing staff on product usage, storage, cleaning, and troubleshooting. Location: Jaipur Desired Experience: 0-5 years Desired Educational Qualifications: Bachelors in one of the following areas: Nursing Engineering Public Health Skills Required: Basic understanding of Physiology/Clinical terms and/or medical device technology Good communication skills Experience of working in hospitals and communicating with Doctors, especially Pediatrics or ICU (preferred) Looking for candidates with initiative and a positive attitude who want to work in a fast-paced startup environment. Strong troubleshooting skills to diagnose and resolve application-related issues in a clinical environment. Language: English, Hindi and regional languages depending on the location.
