Job Summary Illustron Media seeks an exceptionally polished and proactive Front Desk Executive to manage the main reception and administrative functions at Vidya Valley North Point School . This dual-role requires a high standard of professional presentation, robust organizational skills, and a genuine passion for supporting an educational environment. You will be the official face of the school, ensuring every interaction—from parents and students to staff and vendors—reflects a highly organized, welcoming, and professional institution. Key Responsibilities School & Visitor Management Serve as the primary point of contact for all parents, visitors, and students, providing a consistently warm, professional, and helpful welcome . Manage the flow of traffic, direct visitors to appropriate personnel, and ensure visitor logbooks and security protocols are strictly followed. Expertly manage all incoming and outgoing communication, including the multi-line phone system, general school email correspondence, and physical mail/deliveries. Answer parent inquiries regarding school policies, events, schedules, and general administration with accuracy and patience. Administrative & Operational Support Maintain the reception and waiting areas to the highest standard of organization and cleanliness , ensuring the space is always presentable. Provide high-level administrative support to the School Principal and management team, including scheduling meetings, managing calendars, and preparing confidential documents. Maintain and manage school files and records (student files, administrative documents) with meticulous attention to detail and confidentiality. Oversee the inventory and ordering of general office supplies and classroom materials, managing vendor relationships as required. Qualifications & Experience Experience Preferred: Prior experience in a Front Desk, Senior Receptionist, or Administrative role, with experience in a school, educational, or childcare setting highly desirable. Professional Skills: Superior written and verbal communication skills; ability to interact with individuals of all ages (children, parents, executives) with professionalism and empathy. Technical Proficiency: Strong command of the Microsoft Office Suite (Word, Excel, Outlook) and comfortable using or learning school management software/CRM tools. Education: High School Diploma or equivalent required; a Bachelor’s degree or relevant certification is a plus.
