Job Overview: We are seeking a highly organized and detail-oriented Executive Assistant with experience in coordinating travel arrangements. The ideal candidate will provide administrative support to our executive team while efficiently managing all aspects of travel planning, ensuring smooth and hassle-free travel experiences. Key Responsibilities: Executive Support: Provide high-level administrative support to the executive team. Manage executives' calendars and schedule appointments, ensuring effective time management. Screen and direct phone calls and distribute correspondence. Prepare reports, presentations, and briefing papers as needed. Travel Coordination: Plan and coordinate all travel arrangements, including flights, accommodations, and ground transportation, both domestic and international. Anticipate travel needs and proactively solve related issues. Research and identify cost-effective travel options while adhering to company travel policies. Prepare detailed itineraries and travel packets for executives. Ensure all travel documents and visas are in order. Handle changes or disruptions in travel plans, adjusting quickly and efficiently. Meeting and Event Coordination: Organize meetings, conferences, and corporate events as required. Coordinate meeting logistics, including scheduling, agenda preparation, and venue arrangements. Assist in the preparation of meeting materials and take meeting minutes when necessary. Communication Liaison: Serve as the primary point of contact between the executives and internal/external parties. Communicate effectively with team members, clients, and partners on behalf of the executives. Draft and proofread emails, memos, and other documents. Administrative Support: Perform general administrative tasks, including filing, data entry, and record-keeping. Handle expense reports and reimbursements. Assist with special projects and other duties as assigned. Qualifications Experience in coordinating travel arrangements is essential. Excellent organizational and time-management skills. Outstanding verbal and written communication abilities. High level of proficiency in Microsoft Office Suite and other office management software. Discretion and confidentiality are crucial. Ability to multitask and prioritize tasks effectively. Strong attention to detail and problem-solving skills. Bachelor's degree preferred. Additional Skills: Previous experience using travel booking software is a plus. Knowledge of foreign languages may be advantageous, especially in areas where the company conducts business. Working Conditions: This position is a full-time role in an office environment. May require occasional travel with the executives. Flexible working hours may be necessary, especially during peak business periods or when coordinating international travel across different time zones.
