Job Summary

We are looking for a detail-oriented Billing Executive to manage pharmaceutical billing operations, ensure accurate invoice processing, and coordinate with warehouse, sales, and dispatch teams. The ideal candidate should have knowledge of pharma billing, GST, inventory coordination, and ERP/SAP billing systems.

Key Roles & Responsibilities

1. Billing & Invoice Processing

• Prepare and process pharmaceutical sales invoices accurately and on time.
• Verify product details, batch numbers, expiry dates, quantities, pricing, discounts, and GST.
• Ensure proper approvals and pricing accuracy before generating invoices.
• Process credit notes, debit notes, sales returns, and billing corrections.

2. Order & Inventory Coordination

• Coordinate with sales, warehouse, and dispatch teams for order verification and billing.
• Verify picked quantities against customer orders before invoice generation.
• Ensure billed quantities match dispatched quantities.
• Follow FIFO and FEFO procedures during billing.

3. ERP & Documentation

• Process billing transactions using ERP/SAP or other billing software.
• Maintain accurate invoice records, billing registers, and supporting documents.
• Prepare daily billing reports and update transaction records.
• Ensure proper documentation for billing adjustments and returns.

4. Compliance & Audit Support

• Ensure compliance with company SOPs, GST requirements, and approved pricing policies.
• Identify and report billing discrepancies, pricing errors, and quantity mismatches.
• Support internal and external audits by providing billing documents.
• Resolve billing-related queries from customers, hospital units, and internal departments.

Required Skills & Competencies

• Knowledge of pharmaceutical billing and invoice processing.
• Understanding of GST, batch numbers, expiry dates, discounts, and pricing.
• Experience using ERP/SAP or pharmaceutical billing software.
• Proficiency in MS Excel and basic computer applications.
• Strong numerical accuracy and attention to detail.
• Good communication and coordination skills.
• Ability to handle billing transactions efficiently.

Candidate Requirements

• Education: Any Graduate (B.Com, B.Sc., B.Pharm preferred).
• Experience: 0–5 years in pharmaceutical billing, medical distribution, or supply chain operations.
• Candidates with experience in hospital pharmacies, pharmaceutical distributors, or CFA operations will be preferred.
• Knowledge of ERP/SAP billing systems and GST invoicing is desirable.
