This is a role for someone who enjoys bringing order to complexity, connecting people and making things happen.
You will work closely with the CEO on projects spanning digital marketing, content strategy, social media, brand building and broader business initiatives. You will coordinate with stakeholders across teams, translate discussions into actionable plans, track progress, resolve bottlenecks and ensure that priorities move forward.
You are not expected to be the subject-matter expert in every function. You are expected to understand the work, ask the right questions, coordinate the right people and ensure that commitments turn into outcomes.
Key Responsibilities
1. Project Management & Execution
-
Convert ideas, discussions and strategic priorities into clear project plans with defined deliverables, owners and deadlines.
-
Maintain project trackers, monitor milestones and proactively follow up with stakeholders.
-
Identify dependencies, delays and bottlenecks, and work with the relevant teams to resolve them.
-
Ensure that decisions made in meetings translate into documented action items and completed tasks.
-
Provide regular updates to the CEO on project progress, priorities, risks and pending decisions.
-
Manage multiple initiatives simultaneously while ensuring that important priorities do not fall through the cracks.
2. Digital Marketing, Content & Social Media
-
Coordinate the execution of marketing and content plans across Toehold's brands and the CEO's personal brand.
-
Work with content creators, designers, video editors, social media managers and digital marketing teams to ensure timely delivery.
-
Track content calendars, campaign schedules, creative approvals and publishing commitments.
-
Coordinate digital marketing initiatives, including campaign execution, lead generation and performance reporting.
-
Help translate content and marketing strategies into briefs, assignments and actionable workflows.
-
Monitor key performance indicators and ensure that insights and recommendations are followed through.
3. Cross-functional Coordination
-
Act as a coordination point between the CEO and relevant internal teams, ensuring clarity on priorities and expectations.
-
Liaise with marketing, creative, technology, sales, operations and other stakeholders as required.
-
Ensure that team members understand their responsibilities, timelines and dependencies.
-
Follow up firmly but professionally to maintain accountability and momentum.
-
Facilitate collaboration between teams and help resolve execution gaps.
-
Escalate issues that require the CEO's attention, along with context and potential solutions.
4. CEO's Office & Executive Support
-
Help the CEO organise priorities, manage action items and maintain visibility over ongoing initiatives.
-
Prepare meeting agendas, capture decisions and circulate concise follow-up notes.
-
Organise information, briefs, presentations and reports to support decision-making.
-
Research topics, evaluate options and prepare preliminary recommendations when required.
-
Anticipate upcoming requirements and ensure that the CEO has the information and preparation needed for important discussions.
-
Handle sensitive business information with discretion and professionalism.
5. Process Improvement & Operational Efficiency
-
Identify recurring execution gaps and introduce simple, effective systems to address them.
-
Establish and maintain workflows, documentation and reporting mechanisms.
-
Use project management, collaboration and AI tools to improve productivity and reduce manual follow-ups.
-
Continuously look for ways to improve coordination, communication and execution across the organisation.
Who We Are Looking For
We are looking for someone who combines strong organisational skills with an understanding of marketing and a genuine bias for action.
You may come from project management, digital marketing, content operations, an agency environment, a founder's office or a similar role where you have coordinated people and projects across functions.

-
A working understanding of digital marketing, content marketing and social media.
-
Excellent written and verbal communication skills.
-
The ability to coordinate multiple stakeholders and follow through on commitments.
-
Strong attention to detail without losing sight of the bigger picture.
-
Comfort working with ambiguity, shifting priorities and tight timelines.
-
The ability to work independently, exercise sound judgement and know when to escalate.
-
A proactive mindset: you identify what needs to happen rather than wait to be told every next step.
-
Professionalism, discretion and the ability to work closely with the CEO.
Experience & Qualifications
-
Approximately 3–7 years of relevant professional experience in project management, marketing operations, content operations, executive support or a related field.
-
Demonstrable experience coordinating projects involving multiple stakeholders.

Practical familiarity with social media workflows, content calendars and digital marketing campaigns.
-
Proficiency with productivity and collaboration tools such as Notion, Google Workspace, spreadsheets and project management platforms.
-
Familiarity with AI tools for research, documentation, planning and workflow automation is an advantage.
