Reception / Front Office ExecutiveRoles & Responsibilities – England English The Reception or Front Office Executive is the first point of contact at England English and plays a vital role in creating a positive, professional, and welcoming experience for students, parents, visitors, and staff. This role directly supports admissions, student coordination, and daily institute operations. 1. Front Desk & Visitor ManagementGreet students, parents, and visitors in a courteous, professional, and friendly manner. Maintain a neat, organised, and welcoming reception area at all times. Handle walk-in enquiries and guide visitors to the appropriate counsellor, trainer, or department. Ensure visitor entry logs are maintained when required. 2. Enquiry Handling & Course InformationAttend walk-in, phone, WhatsApp, and email enquiries professionally. Provide accurate information about: IELTS, PTE, OET, NAATI CCL, Spoken English, and other courses Course duration, batch timings, fees, and study modes Record all enquiries in the enquiry register / CRM / ERP system. Follow up with potential students as instructed by the admissions team. 3. Admissions & Enrollment SupportAssist students during the admission and enrollment process. Collect and verify required documents from students. Coordinate with counsellors and admins for seat confirmation and batch allocation. Generate receipts, admission forms, and student records (as per institute process). Ensure students are clearly informed about rules, schedules, and policies. 4. Student Coordination & SupportAct as a support point for enrolled students for general queries. Inform students about: Class schedules Batch changes Exams, mock tests, and assessments Holidays and announcements Coordinate between students, trainers, and management when needed. Maintain discipline and ensure smooth student flow at the reception. 5. Communication & Follow-upsHandle incoming and outgoing calls professionally. Send messages, reminders, and updates via WhatsApp, SMS, or email as instructed. Follow up on: Pending fees Trial classes Absentees (if assigned) Maintain polite, clear, and professional communication at all times. 6. Fees & Basic Accounts AssistanceCollect course fees and issue proper receipts. Update payment records accurately in the system. Coordinate with accounts/admin team regarding fee status and dues. Maintain confidentiality of financial and student information. 7. Records & DocumentationMaintain student records, enquiry forms, and admission files properly. Update attendance sheets and registers if assigned. Ensure data accuracy in the institute’s ERP / software / records. Safely store documents and ensure easy retrieval when required. 8. Administrative & Office SupportAssist admin staff in daily operational tasks. Support trainers and management with coordination work. Manage basic office supplies and inform admin when restocking is required. Help in organising exams, mock tests, demo sessions, or events. 9. Professional Conduct & Institute ImageRepresent England English with professionalism, politeness, and confidence. Maintain proper dress code and positive body language. Follow institute policies, timings, and confidentiality rules. Handle difficult situations or complaints calmly and escalate when necessary. 10. Compliance & ResponsibilityFollow institute SOPs and internal guidelines strictly. Ensure punctuality and reliability in daily duties. Take ownership of reception operations during working hours.
