Office Administration Responsibilities : Manage office supplies, inventory, and equipment. Maintain an organized filing system for contracts, orders, invoices, and company documents. Handle general administrative tasks such as answering phone calls, managing emails, and scheduling appointments. Order Processing : Assist in the processing of sales orders, ensuring all orders are accurately recorded and delivered on time. Communicate with suppliers and customers to confirm order status and delivery timelines. Track and maintain records of product shipments and deliveries. Customer Support : Respond to customer inquiries regarding products, pricing, and order status. Provide support in handling customer complaints and issues in a professional manner. Collaborate with the sales team to assist in fulfilling customer requirements. Documentation and Reporting : Assist in generating regular reports for sales, inventory, and delivery schedules. Maintain accurate records of product purchases, sales, and returns. Prepare and process invoices, delivery notes, and purchase orders. Data Entry and Database Management : Input product details, pricing information, and customer data into the company’s database or ERP system. Update and maintain product catalogs and inventory databases. Coordination and Communication : Coordinate with internal teams (sales, operations, logistics) to ensure smooth and timely processing of orders. Communicate with suppliers, customers, and other stakeholders regarding business operations and delivery schedules. Assist in preparing presentations, proposals, and reports for clients and internal meetings. Qualifications : Skills : Strong organizational and time management skills. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with ERP or CRM systems is a plus.
