Data Entry Executive

The Candidate is responsible for accurately entering customer orders into the company's ERP/software system, verifying order details, and coordinating with the Sales, Accounts, Purchase, Stores, and Dispatch departments to ensure smooth and timely order processing.

The role is focused on maintaining order accuracy, minimizing processing errors, ensuring timely order entry, and supporting the overall sales operations of the company.

2. Key Roles & ResponsibilitiesA. Order Entry & Processing

• Receive confirmed customer orders from the Sales Team, BDEs, Existing Sales Executives, and Sales Coordinators.
• Enter customer orders accurately into the company's ERP/software system.
• Verify product names, specifications, quantities, rates, discounts, taxes, and delivery details before punching orders.
• Ensure all orders are entered within the prescribed turnaround time.
• Verify customer details, billing addresses, shipping addresses, and payment terms.
• Ensure all necessary approvals are obtained before processing orders, wherever applicable.

B. Order Verification & Documentation

• Cross-check customer purchase orders against approved quotations and pricing.
• Verify product specifications, quantity, unit of measurement, rate, and applicable taxes.
• Identify discrepancies, missing information, incorrect rates, or incomplete documentation.
• Coordinate with the concerned Sales Executive to clarify discrepancies before finalizing orders.
• Maintain proper records of purchase orders, sales orders, approvals, and related documents.
• Ensure compliance with the company's order processing procedures.

C. Internal Coordination

• Coordinate with the Sales Team for order confirmation and clarification of customer requirements.
• Coordinate with the Purchase / Stores Department regarding product availability, wherever required.
• Coordinate with the Dispatch Department for order readiness and dispatch planning.
• Coordinate with the Accounts Department regarding credit limits, outstanding dues, payment terms, and billing requirements.
• Communicate order-related issues to the reporting manager and follow up until resolution.

D. Order Tracking & Follow-Up

• Monitor the status of orders entered into the system.
• Follow up with the concerned departments on pending orders and dispatch schedules.
• Update the Sales Team regarding order processing status and any delays.
• Identify pending, incomplete, or held orders and ensure timely follow-up.
• Maintain records of cancelled, amended, and completed orders.
• Ensure timely communication of order status to the concerned sales personnel.

E. Data Management & Reporting

• Maintain accurate customer and order records in the ERP/software system.
• Prepare daily reports on orders punched, pending orders, and order processing errors.
• Maintain a record of order amendments, cancellations, and approval status.
• Ensure data confidentiality and prevent unauthorized changes to order records.
• Submit daily and monthly order processing reports to the reporting manager.

Pay: ₹11,000.00 - ₹18,000.00 per month
