The Receptionist will be the first point of contact for patients at Dantoon Dental Clinic, responsible for managing the front desk, coordinating appointments, and driving tele calling-based appointment conversions and follow-ups. The role demands excellent communication, comfort with technology (Practo, WhatsApp Business), and a calm, patient-centric attitude. Key responsibilities Greet and receive all walk-in patients and visitors with a warm, professional attitude and maintain a calm, welcoming reception area at all times. Manage the clinic appointment calendar on Practo and/or manual logs, ensuring optimal slot utilization, minimal wait times, and smooth coordination with doctors’ schedules. Schedule, reschedule, and cancel appointments as needed, and send confirmations and reminders via phone calls, SMS, and WhatsApp to reduce no‑shows. Handle all inbound calls and WhatsApp queries for the clinic, including appointment requests, treatment inquiries, directions, and basic pricing information, with clear and courteous communication. Conduct systematic telecalling to: Follow up with old/existing patients for recall, hygiene visits, and pending treatments Call Practo/website/WhatsApp leads and convert them into booked appointments Confirm next‑day appointments and fill last‑minute cancellations with waitlisted patients Maintain accurate and up‑to‑date patient records in Practo/clinic software and basic manual registers where needed. Assist patients with registration, form filling, and basic consent documentation before they enter the operatory. Coordinate with the doctor and assistants to manage chair flow, inform about patient arrivals, delays, and special requirements (emergency, child, elderly, anxious patients, etc.). Support basic billing activities: verify mode of payment, collect fees at the front desk, issue receipts, and reconcile a simple end‑of‑day collection summary (cash/UPI/cards). Keep the reception and waiting area clean, organized, and “patient‑ready” with updated brochures, feedback forms, water, etc. Maintain a simple log of daily calls, leads, follow‑ups, and conversions for review with the doctor/clinic owner. Candidate profile Education: Minimum PUC/Graduate; prior experience as a receptionist/front desk executive in a clinic, hospital, spa, or customer-facing role is preferred but not mandatory. Gender: Female candidates preferred (as per clinic requirement). Skills: Strong spoken English and Hindi/Kannada, with clear and polite phone manners. Tech‑savvy and comfortable working with smartphones, WhatsApp Business, Practo or similar practice management/CRM tools, and basic Excel/Google Sheets. Good typing speed and accuracy for entering patient details and maintaining logs. Attributes: Punctual, organized, and able to multitask between walk‑ins, calls, and calendar updates. Patient, empathetic and genuinely service‑oriented, especially with anxious or elderly patients.
