Operations & Admin Executive – Shipping (Startup Role) Company: Cassini Ship Management Pvt. Ltd. Location: Mumbai Type: Full-time, On-site About Us Cassini Ship Management is a growing marine / ship management company handling crew management, ship operations and related marine services. We are a young startup, so the work is dynamic, hands-on and involves close coordination with ship captains, authorities, and overseas offices. We are looking for an Operations & Admin Executive who can support day-to-day office operations, communication and basic accounts, and assist the Managing Director. Key Responsibilities 1. Communication & Coordination Handle daily communication via email and phone with: Ship Captains onboard vessels Flag state / class / port authorities Shipping agents and other service providers Draft, send and follow up on professional emails as per instructions. Coordinate with our Dubai office team and remote colleague (ship supplies) whenever required. 2. Crew Change & Travel Arrangements Assist in planning crew changes for ships. Coordinate with shipping agents for sign-on / sign-off formalities and port requirements. Arrange and book flight tickets, local transport, hotels (if needed) for crew. Maintain crew movement records and basic documentation. 3. Accounts & Documentation Assist in basic accounts work – recording expenses, preparing vouchers, tracking payments, maintaining files (physical & digital). Coordinate with external accountant as required. Maintain proper filing of contracts, invoices, statements, and important ship-related documents. 4. Executive Assistance to MD Provide day-to-day support to the Managing Director: Managing calendar, meetings and reminders Preparing basic reports / summaries as instructed Following up on pending tasks with internal and external parties 5. Office Administration & Visitors Handle front-office responsibilities – attending calls, receiving visitors, arranging meetings. Ensure smooth office functioning – stationery, courier, basic housekeeping coordination, etc. Support in ad-hoc tasks related to operations, compliance and administration as required in a startup environment. Desired Profile Education: Graduate in any stream (Commerce / Shipping / Management preferred, but not mandatory). Experience: Freshers or 1–3 years experience in shipping / logistics / admin / office coordination can apply. Ltd. is a growing marine services and ship management company, providing crewing, technical support, audits, and inspections to shipowners and managers. We are building a lean, professional team focused on compliance, efficiency, and long-term partnerships with our clients and seafarers. We are now looking for a hands-on HR Manager to manage both shore-based HR and crew HR (manning) functions. Role Overview The HR Manager will be responsible for setting up, managing, and continuously improving HR processes for: Office staff (shore-based team) Seafarers / crew (for various vessels) This includes recruitment, onboarding, performance management, HR policies, statutory compliance, and creating a positive, high-performance work culture. Key Responsibilities 1. HR Strategy & Policy Develop and implement HR policies, procedures and SOPs for office staff and seafarers. Set up proper employee records, HR documentation, and MIS. Ensure compliance with labour laws, MLC requirements (where applicable) and company standards. 2. Recruitment & Onboarding Manage end-to-end recruitment for: Office roles (operations, accounts, executives, etc.) Crew positions in coordination with Technical/Crewing team. Source candidates via job portals, LinkedIn, institutes, and references. Conduct initial screening, schedule interviews, and coordinate selection. Design and manage joining formalities, offer letters, contracts, induction etc. 3. Crew HR / Manning Support Coordinate with Crewing/Operations for crew planning, rotation and reliefs. Maintain updated seafarer database with documents, certificates, appraisals, and contracts. Support with RPSL / MLC compliance requirements as applicable (forms, records, audits). Handle grievances, welfare, and communication with seafarers professionally. 4. Attendance, Payroll Coordination & Statutory Oversee attendance, leave records of office staff. Coordinate with Accounts for salary processing, increments, and reimbursements. Ensure timely compliance with PF, ESIC, gratuity, bonus, and other statutory obligations (as applicable). 5. Performance Management & Employee Relations Implement performance appraisal processes and assist management with reviews. Help define KRA/KPI frameworks for key roles. Manage employee engagement, discipline, counselling and exits in a professional manner. Play a key role in building a positive, transparent, accountable culture. 6. HR Administration & Support to Management Prepare HR reports, dashboards, and summaries for management review. Support the MD and senior team in organization structure, role definitions & hiring plans. Handle confidential HR matters with discretion and integrity. Desired Candidate Profile Education: Graduate / Postgraduate in HR / Management (MBA/PGDM in HR preferred). Experience: 1 to 10 years of total HR experience. Freshers may apply. Experience in shipping / manning / logistics / maritime industry will be a strong advantage. Strong knowledge of HR basics, labour law, recruitment, and HR operations. Experience in handling both junior & mid-level hiring and managing HR processes independently. Good communication skills (English & Hindi), professional behaviour, and approachable personality.
