Business Analyst – SaaS Product & Solution Design

Key Responsibilities

1. Customer Requirement Gathering and Business Analysis

• Interact with customers, including business heads, sales teams, IT teams, and operations teams, to understand their business processes, challenges, and expectations.
• Conduct requirement-gathering workshops, stakeholder interviews, and process walkthroughs.
• Ask the right questions to identify the underlying business problem rather than simply documenting what the customer requests.
• Map existing business processes and identify gaps, inefficiencies, and opportunities for automation.
• Convert customer discussions into clear, structured, and actionable requirements.

2. Functional Solution Design

• Map customer requirements against existing PepUpSales functionality and identify whether they can be addressed through standard features, configuration, process changes, or custom development.
• Design end-to-end functional workflows covering users, roles, business rules, validations, approvals, exceptions, and system behavior.
• Prepare functional requirement documents (FRDs), business requirement documents (BRDs), user stories, use cases, process flow diagrams, and acceptance criteria.
• Define screen-level requirements, field validations, data dependencies, business logic, reports, and dashboards wherever required.
• Identify the impact of proposed changes on existing modules, customers, and business processes.

3. Technical Solution Mapping

• Work closely with developers and technical leads to translate functional requirements into technically feasible solutions.
• Understand database structures, APIs, integrations, data flows, system dependencies, and application architecture at a level sufficient for effective solution design.
• Prepare data flow diagrams, integration requirements, field mappings, API specifications, and logical solution designs in collaboration with the technical team.
• Identify technical dependencies, edge cases, risks, and potential performance or scalability issues.
• Ensure requirements are sufficiently detailed for developers to estimate, design, and implement without repeated clarification.

4. Product Gap Analysis and Standardisation

• Identify gaps between customer requirements and the existing PepUpSales product.
• Recommend whether a requirement should be handled through configuration, a reusable product enhancement, or customer-specific customisation.
• Evaluate the impact of customisations on the existing product and other customers in the multi-tenant SaaS environment.
• Help convert recurring customer requirements into standard product capabilities.
• Maintain a structured record of requirements, product gaps, change requests, and approved solution designs.

5. Coordination with Development, QA and Delivery Teams

• Explain approved requirements and workflows to developers, QA engineers, and implementation teams.
• Coordinate with the development team during implementation to resolve functional queries and clarify expected system behaviour.
• Review developed functionality against approved requirements and acceptance criteria.
• Support test-case preparation, UAT planning, defect clarification, and customer sign-off.
• Ensure scope, dependencies, assumptions, and change requests are documented and controlled throughout the project lifecycle.

6. Documentation and Process Improvement

• Maintain up-to-date functional specifications, workflow diagrams, requirement traceability matrices, and product documentation.
• Ensure that requirements, design decisions, development tasks, and test cases remain aligned.
• Identify opportunities to improve requirement-gathering practices, solution quality, and implementation efficiency.
• Contribute to the development of reusable templates, standard workflows, and product knowledge repositories.

Required Skills and Qualifications

• Bachelor's degree in Computer Science, IT, Engineering, Business Information Systems, or a related field.
• 5+ years of experience in business analysis, SaaS implementation, enterprise software, product analysis, or solution consulting.
• Strong experience in requirement gathering, business process mapping, functional specification writing, and solution design.
• Ability to understand complex business processes and convert them into structured workflows and system requirements.
• Working knowledge of relational databases, SQL, APIs, JSON, system integrations, and application architecture.
• Experience creating process flow diagrams, use cases, user stories, acceptance criteria, and functional specifications.
• Strong analytical, problem-solving, communication, and stakeholder-management skills.
• Ability to communicate effectively with both non-technical business stakeholders and technical development teams.
• Proficiency in documentation and process-modelling tools such as Microsoft Visio, draw.io, Jira, Confluence, or equivalent tools.

Preferred Experience

• Experience with SaaS-based enterprise applications, CRM, SFA, DMS, ERP, retail execution, or supply chain management solutions.
• Understanding of FMCG sales processes, distributor and stockist operations, sales-force automation, beat planning, order booking, retail execution, and secondary sales.
• Experience working with multi-tenant SaaS applications and configurable enterprise products.
• Exposure to mobile applications, offline workflows, third-party integrations, and reporting dashboards.
• Experience in UAT coordination and working in Agile or iterative software development environments.
