Job Description

Position Title: Branch Assistant Reporting to: Regional HR, Zonal Assistant & ZSM FLSA: Full Time This is a Third Party Payroll Job. Primary Responsibility: Branch Office Management: Act as a sole coordinator of the NE Branch Office. Managing day to day administrative matters about WH, branches & branch employee welfare management Managing statutory compliance of Branches & Warehouses. Handling of Branch expenses as per allocated budget. Makes travel arrangements for senior staff such as booking flights, cars, and hotel reservations. Document collection from warehouse/branches, from marketing for all customers and submit to Legal department, as required. Vendor Management: Need to search or hire new vendors when required. Negotiating contracts, creating standards for the vendors, and finding the best suitable vendors. Negotiate with vendors to secure the best prices for products and services, and ensure that vendors fulfill their contractual obligations. Need to maintain relationships with the existing vendors/partners. Need to coordinate with the vendor's partners for timely submissions of bills. Distributor Management: Responsible for Management: Appointment/ Discontinuation of Distributor etc. Supervise communication of all commercial policies to Distributor (a) Balance confirmations (b) Cheque Bouncing / Code Blocking (c) Claim Management/Goods return... Supervise Scheme communication to Distributor. Support internal customers for any issue related to accounts during month-end / sales closing (exception due to accounts related) Resolving queries of Distributor. Sales Operation : Drishti Month End closure tracking, for the entire NE region team. Paperless claims approval task for GT division Monthly SMR closing for Non-Drishti Parties of GT division Scrutiny of Nivesh Claims for the GT division Manual Order Punching activities in CRS application for entire Orissa & NE-Region Documents Scrutiny of Distributorship Appointment Coordinating with zonal accounts team and CFA for accounting queries of Distributor TA/DA Scrutiny for NE-Region Employees. MIS Report Preparation Coordinating & assisting to NE Sales team regarding various tasks. Visiting CFA for Auditing of Damage & Destruction of Goods. Coordinating with CFA regarding stock transit inquiry SAP Report Preparation like, Stock, Inv, PBNS, Parties Ledger Reconciliation, SRN tracking, etc. Address customer and employee satisfaction issues promptly Adhere to high ethical standards, and comply with all regulations/applicable laws Liaising with internal stakeholders such as channel development teams, category development teams, and brand teams as well as external stakeholders such as distributors, and so forth. Coordinating / Reporting to Zonal & Corporate Office on Official matters. HR Generalist Task: Maintaining physical and digital personnel records like employment contracts and PTO requests Update internal databases with new hire information Create and distribute guidelines and FAQ documents about company policies Develop training and onboarding material Respond to employees questions about benefits. Track the attendance of all staff day-wise is provided to HR Dept as per organization requirement and communication. Track leave database Provide this information every month to the HR and Admin Manager for payroll input Collect documents from employees as per the standard checklist Maintain the personal database of employees' positions and updates them regularly.
