Role Overview We are looking for a proactive and detail-oriented PMO (Project Management Office) Specialist to support Brainbox’s delivery operations across S2P, BTP, EII, S/4HC, and Data Services. The role will focus on resource planning, project tracking, utilisation management, vendor coordination for external hiring, and employee engagement initiatives to ensure high-performing teams and predictable delivery outcomes. Key Responsibilities 1. Resource Planning & Allocation Maintain an updated resource capacity plan (bench, billing, upcoming availability). Work with Delivery Leads to forecast resource demand for ongoing & upcoming projects. Support in staffing requests, matching skills with project needs. Maintain a skills inventory of all consultants across India & NL. Track utilisation (%) weekly and highlight under-/over-utilised resources. 2. Project Tracking & Governance Create and maintain project dashboards (scope, timeline, budget, issues, risks). Track project milestones, deliverable status, and dependency alerts. Facilitate weekly PMO meetings with Delivery Leads. Maintain standard project documentation (RAID logs, status reports, change logs). Support in internal audits and delivery governance reviews. 3. Employee Engagement & People Operations Support Run structured check-ins with employees (pulse surveys, engagement calls). Monitor consultant well-being, workload balance, and training needs. Work with HR to schedule L&D programs, certifications, and upskilling plans. Organise internal events like knowledge-sharing sessions, team meetups. Support employee onboarding and offboarding activities (system access, induction). 4. Vendor Management & External Hiring Coordinate with vendor partners, subcontractors & recruitment agencies. Manage external resource onboarding, rate negotiations, contract processing. Maintain a list of approved vendors and skills availability. Track subcontractor performance, billing, and compliance documentation. Ensure timely extension approvals and budget control for external resources. 5. Delivery & Operational Excellence Support the Delivery Head on weekly operational updates. Prepare monthly utilisation & forecast reports for leadership. Monitor financial metrics: burn rate, margins, cost of subcontractors, revenue recognition. Contribute to creation of delivery playbooks, SOPs, and best practices. Skills & Qualifications Required 5–8 years of PMO / Operations / Project Coordination experience (IT consulting preferred). Strong understanding of resource planning, project governance, and vendor hiring. Excellent communication and stakeholder management. Proficiency in tools: MS Excel, Power BI, JIRA, Asana, Smartsheet, Teams/SharePoint. Ability to work in a fast-paced, multi-project environment. Process-driven, analytical mindset, and high ownership.
