Backend Executive

We are looking for a responsible, detail-oriented and proactive Backend Executive to manage end-to-end visa application processing and client coordination. The candidate will be responsible for handling clients after onboarding, understanding their profiles, managing documentation, completing online applications, scheduling appointments and ensuring applications are processed accurately and efficiently.

Key Roles & Responsibilities

1.⁠ ⁠Client Onboarding & Profile Assessment

* Onboard clients after sales confirmation.

* Understand the client’s travel purpose, personal profile, employment, financial background and travel history.

* Review the case and identify documentation requirements.

2.⁠ ⁠Documentation & Checklist Management

* Prepare and share case-specific document checklists.

* Provide relevant document samples and guidance to clients.

* Review, verify and organise documents received from clients.

* Identify missing, incomplete or inconsistent documents.

3.⁠ ⁠Online Application Processing

* Accurately fill online visa application forms.

* Handle country-specific application portals and documentation requirements.

* Cross-verify all information before proceeding.

4.⁠ ⁠Appointment Scheduling

* Coordinate and schedule visa appointments.

* Assist with appointment-related formalities and confirmations.

* Communicate appointment details to clients.

5.⁠ ⁠Client Follow-ups & Coordination

* Regularly follow up with clients for pending documents, clarifications and payments.

* Maintain timely communication and provide application progress updates.

* Resolve documentation-related queries and coordinate with the relevant teams.

6.⁠ ⁠Application Tracking & Team Coordination

* Track applications from onboarding until submission and subsequent updates.

* Coordinate with the sales team regarding client onboarding, pending requirements and application status.

* Ensure all client records and CRM statuses are updated regularly.

7.⁠ ⁠Quality Check & Application Submission

* Conduct a thorough quality check of forms and supporting documents before submission.

* Ensure accuracy, completeness and consistency of application details.

* Update application status immediately after submission.

* Maintain proper records of submission confirmations and receipts.

8.⁠ ⁠End-to-End Application Management

* Take ownership of assigned applications from client onboarding to submission and post-submission coordination.

* Ensure deadlines are met and no application is delayed due to internal follow-up gaps.

* Maintain professional client relationships throughout the process.

Skills & Competencies Required

•⁠ ⁠Good written and verbal communication skills.

•⁠ ⁠Strong attention to detail and accuracy.

•⁠ ⁠Good follow-up, coordination and time-management skills.

•⁠ ⁠Basic computer knowledge and proficiency in MS Office, Google Workspace and online portals.

•⁠ ⁠Ability to multitask and manage multiple client applications.

•⁠ ⁠Problem-solving ability and a responsible approach to work.

•⁠ ⁠Prior experience in visa documentation, travel operations or customer coordination will be an advantage.

Pay: ₹20,000.00 - ₹25,000.00 per month
