Assistant Administration Manager - Manufacturing Plant

Job Title: Assistant Manager/Manager

• Experience Required:

  7-10 years in plant administration or facility management (chemical, pharma, or heavy manufacturing preferred)

• Education:

  Science Graduate is preferred; a degree in Mechanical Engineering or certification in Industrial Safety / 5S is most preferred.

Key Responsibilities

1. Facility Operations & Utilities Infrastructure

• Monitor daily plant heavy machinery, industrial equipment, housekeeping, horticulture, pest control, and office cleanliness across administrative blocks and change rooms.
• Oversee day-to-day administrative and technical maintenance operations across factory buildings, offices, and residential colonies.
• Supervise canteen operations, ensuring food quality, hygiene standards, and timely meal services for plant shifts.
• Manage employee transport logistics, tracking vehicle route compliance, cab allocations, and coordinate with transport vendors for daily shifts.
• Oversee the allocation, inventory, and distribution of office stationery, pantry supplies, uniforms, and plant consumables.

2. Security Coordination & Gate Control

• Supervise day-to-day security deployments at factory gates, material entry points, and administrative buildings.
• Manage the visitor management system (VMS), contractor gate passes, and vehicle entry/exit logs (Inward/Outward registers).
• Coordinate closely with the Time Office to monitor daily contract labor attendance and biometric logs.

3. Statutory Compliance & Industrial Safety Assistance

• Maintain administrative files, licenses, renewals, and regulatory documents for factory inspectorate audits.
• Assist the main Admin Manager during external audits, pollution control board (PCB) visits, and customer inspections.
• Support the EHS team in maintaining emergency safety systems, executing fire mock drills, and inspecting plant eye-wash/safety showers.

4. Contractor Labor & Vendor Coordination

• Track contract labor deployments (housekeeping, security, catering) to ensure adequate manpower alignment with daily plant needs.
• Handle initial verification of vendor invoices, service sheets, and monthly billing documents before submitting for approval.
• Raise Purchase Requisitions (PR) and Service Entry Sheets (SES) in the plant's ERP system (SAP/Oracle).

5. Asset Management & Cost Control

• Maintain updated files for the physical verification of office equipment, furniture, and fixed assets.
• Track administrative utility bills (electricity, water, communications) and flag consumption variances to control costs.

Required Skills & Qualifications

• Experience: 5

  + years of floor-level or office administration experience within an industrial setup or manufacturing facility.

• Functional Knowledge:

  Ground-level understanding of factory gate operations, contract labor systems, and basic vendor invoicing workflows.

• Technical Skills:

  Sound proficiency in MS Office (Excel & Word are essential) and hands-on experience using ERP software (SAP/Oracle) for procurement/admin cycles.

• Soft Skills:

  High energy, prompt crisis resolution, collaborative coordination, and strong communication skills to handle diverse labor forces.
