Job Summary: We are seeking a highly organized, detail-oriented, and proactive Operations Management Associate cum Executive Assistant to support our business. This dual role requires a professional with a strong background in the financial advisory and mutual funds industry, coupled with exceptional administrative and operational management skills. You will be instrumental in ensuring the smooth and efficient day-to-day operations of the firm while providing high-level administrative support to the leadership team. Responsibilities: Operations Management: Oversee and streamline daily operational processes within the wealth advisory business. Ensure compliance with regulatory requirements and internal policies related to financial advisory and mutual funds. Manage client onboarding and KYC (Know Your Customer) processes, ensuring accuracy and completeness of documentation. Facilitate and track client transactions, including investment account opening, maintenance, and reporting. Coordinate with various financial institutions, custodians, and mutual fund houses. Maintain and organize client records, ensuring confidentiality and data security. Assist in the preparation of client reports, presentations, and other relevant documentation. Identify and implement process improvements to enhance efficiency and accuracy. Manage office supplies, vendor relationships, and ensure a well-maintained office environment. Support the implementation and management of technology platforms used in the business. Executive Assistant Duties: Provide comprehensive administrative support to the leadership team, including managing calendars, scheduling meetings, and coordinating travel arrangements. Prepare agendas, take meeting minutes, and follow up on action items. Handle confidential information with discretion and professionalism. Screen and prioritize incoming communications (emails, calls, mail) and respond or redirect as appropriate. Prepare correspondence, reports, and presentations with accuracy and attention to detail. Organize and maintain electronic and physical filing systems. Assist with personal tasks and errands for the leadership team as needed. Coordinate internal and external events, meetings, and conferences. Act as a point of contact between the leadership team and internal/external stakeholders. Qualifications and Skills: Bachelor's degree in Finance, Business Administration, Operations, or a related field. Mandatory: Proven experience (2+ years) working within the financial advisory and/or mutual funds industry . Strong understanding of financial products, investment processes, and regulatory frameworks relevant to wealth management. Excellent organizational, time management, and multitasking skills with a proven ability to prioritize tasks and meet deadlines. Exceptional attention to detail and accuracy. Excellent written and verbal communication skills. Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with CRM software and financial planning tools is a plus. Ability to work independently and as part of a team. High level of professionalism, integrity, and discretion. Proactive and problem-solving attitude. The specialist will perform targeted research and execute personalized outreach to promoters, founders, and key decision-makers, aiming to schedule qualified introductory meetings for the partner. Key Responsibilities: Market Research & Target Identification: Systematically identify companies that fit predefined M&A / IPO criteria (industry, revenue, growth stage, strategic fit) through industry databases, news, and market intelligence. Database Management: Build and maintain a robust CRM/database of identified companies, their promoters/founders, and relevant contact information. Personalized Outreach: Craft and execute highly personalized outreach campaigns (via email, LinkedIn, and strategic cold calls) to introduce our M&A / IPO intermediation services and gauge interest. Relationship Nurturing: Follow up with prospects, share relevant industry insights, and nurture initial interest to warm up leads. Meeting Scheduling: Successfully schedule and confirm qualified first meetings/calls between interested promoters/founders/CXOs and the partner. Preliminary Information Gathering: Collect essential preliminary information about potential deals during initial interactions to qualify them for further engagement. Reporting: Track all outreach activities, pipeline status, and provide regular performance reports. Required Skills & Attributes: Strong research and analytical capabilities. Persistence & Resilience: The ability to handle rejection, follow up consistently without being aggressive, and maintain motivation in the face of long sales cycles.
