Job Title: Office Assistant – Manufacturing / Design Support Job Summary We are looking for a responsible and detail-focused Office Assistant to support administrative, production, and design coordination activities in our manufacturing and fabrication setup. The role involves managing leads, tracking production orders, handling invoicing, monitoring raw materials, preparing QC reports, and ensuring accurate data transfer to the CAD/design team for smooth project execution. Key Responsibilities Check and manage online leads, update lead status, and coordinate with the sales or management team for follow-ups. Track and follow up on production schedules for existing orders to ensure timely manufacturing and dispatch. Generate invoices, maintain billing records, and support basic accounts-related documentation. Monitor raw material inventory, maintain stock status, and coordinate with vendors for procurement based on production requirements. Collect production and inspection data to prepare Quality Control (QC) reports as per company standards. Accurately transfer order details, drawings, and specifications to the CAD/design team and ensure proper version control. Maintain records related to work orders, material usage, QC reports, invoices, and design documents. Act as a coordination point between sales, production, procurement, QC, and design departments. Support day-to-day office administration and documentation as required in a manufacturing environment. Required Skills and Qualifications Graduate / Diploma in Commerce, Business Administration, Engineering support, or a related field. 1–3 years of experience in an office/admin role within manufacturing, fabrication, or design industry preferred. Proficiency in MS Excel (tracking sheets, reports), Word, and email communication. Experience with ERP, inventory management, or invoicing software is an advantage. Strong organizational skills with attention to technical and numerical details. Good communication skills for coordination with internal teams and vendors. Preferred Experience Exposure to manufacturing or fabrication workflows. Basic understanding of production planning, material management, and QC processes. Ability to read and understand basic technical drawings or job specifications (added advantage). Work Environment Office-based role with regular coordination with factory/shop-floor teams. Fast-paced environment requiring multitasking and accuracy.
