Role Overview

transaction-level reconciliation, billing validation and discrepancy identification

The primary responsibility of this role is to ensure the completeness and accuracy of billing by manually reconciling operational data against customer billing records, identifying missing or duplicate transactions, investigating mismatches and maintaining a clear record of all exceptions until resolution.

This is a hands-on role requiring strong analytical ability, advanced working knowledge of MS Excel and the ability to work independently with detailed datasets. Logistics or courier industry experience is preferred, but demonstrated reconciliation capability is essential.

Key Responsibilities

• Perform regular transaction-level reconciliation between operational reports, shipment records and customer invoices.
• Identify missing, duplicate, unbilled and incorrectly billed transactions.
• Validate invoice amounts against applicable customer rate cards, shipment details and supporting records.
• Investigate differences in quantities, shipment references, rates and applicable logistics charges.
• Maintain detailed reconciliation sheets, discrepancy trackers and exception reports using MS Excel.
• Follow up with Operations, Sales, Key Account Management and Finance teams to investigate and resolve discrepancies.
• Track pending issues, quantify their financial impact where possible and ensure appropriate closure.
• Support customer billing, invoice preparation and billing-period closing activities.
• Maintain accurate documentation and an auditable record of reconciliation activities.
• Identify recurring errors and recommend practical improvements to existing manual reconciliation processes.

Mandatory Requirements

• 24 years of relevant experience in accounts, billing, reconciliation or transaction-based financial operations.
• Hands-on experience in reconciliation beyond routine bank reconciliation or general ledger matching.
• Strong working knowledge of MS Excel, including VLOOKUP/XLOOKUP, SUMIFS, Pivot Tables, filters and duplicate identification.
• Ability to compare large datasets, identify exceptions and investigate the underlying reasons.
• High attention to detail, numerical accuracy and a structured approach to problem-solving.
• Ability to take ownership of discrepancies and follow them through to resolution.

Preferred Experience

• Experience in logistics, courier, freight, 3PL/4PL, e-commerce logistics or supply chain.
• Exposure to shipment-level billing, customer invoices, rate cards or operational transaction reports.
• Experience with manual reconciliation and maintaining discrepancy trackers.
