Minimum Qualification : Member of Institute of Company Secretaries of India (ICSI) and preferably a Bachelor's in Law (LLB). Experience: 2 - 4 years post qualification (as a company secretary or lawyer in a management consultancy company or a company secretary/legal firm) Technical Skills Required: Secretarial Competencies: Sound knowledge of Companies Act, FEMA and RBI compliance. Filing ROC forms and returns, maintaining statutory books, registers, records under Companies Act, Preparation of minutes of the Meeting of the Board of Directors, General Meetings and Committee Meetings and managing various secretarial functions viz. incorporation of companies, ROC and FEMA compliances, liaising with RBI, MCA and drafting representations to be filed with external agencies. About the Position: Looking for self-motivated, focused, passionate HR Executive & Administration Coordinator to be based out of our New Delhi office. The incumbent will have the primary responsibility of coordinating, organising & implementing administrative activities of the company and lend support in HR activities to the Team Leader. This will include direct responsibility of providing high level of administrative support to employees and management in the workplace and to select client organisations. About the Responsibilities – HR Executive & Administration Coordinator Human Resources: · Oversee and ensure monthly compliance for Octagona India and its clients, including Provident Fund (PF) and Employees’ State Insurance (ESI) obligations. · Manage or support recruitment processes for both technical and non-technical roles for Octagona India and its clients, including sourcing, screening, coordinating interviews, and onboarding. · Keep HR records of all employees such as signed offer letters etc. updated in soft and hard formats Administration: · Plan, organize, and oversee the day-to-day administrative operations of the company. · Manage all office administration tasks including office supplies, record-keeping, housekeeping, and staff attendance. · Draft official documents such as invitation letters for foreign visitors, correspondence to banks, and communication with external institutions, ensuring timely dispatch. · Ensure availability and timely replenishment of office stationery and company-branded items such as business cards, letterheads, and other collaterals. · Maintain and update administrative records, including staff attendance, client personnel attendance, office assets (IT hardware, accessories, appliances), and other documents as required. · Handle all aspects of travel management, including flight, hotel, and cab bookings for staff, clients, and foreign associates. · Assist Indian colleagues and client employees in preparing visa-related documentation (e.g., support letters, bank statements, ITRs). · Maintain an up-to-date contact directory of vendors, service providers (cleaners, IT, travel, real estate agents, headhunters), external consultants, and banking relationship managers. · Vendor management: identify new vendors, negotiate terms, and ensure timely payments for services and supplies. · Coordinate and manage video conferencing facilities and related IT equipment to ensure seamless communication.
