Human Resource Executive And Administration Coordinator
About the Responsibilities HR Executive & Administration Coordinator Independently manage end-to-end recruitment processes (technical and non-technical) for multiple clients, including sourcing, screening, scheduling, coordinating interviews on boarding onboarding . Maintain and regularly update employee records , including signed offer letters, ID proofs, and employment documents, in both physical and digital formats . Oversee and ensure monthly statutory compliance for Octagona India and its clients, including Provident Fund (PF) , Employees’ State Insurance (ESI) , and other applicable labor law requirements. Coordinate with internal teams and clients to support HR documentation , grievance resolution, and employee engagement initiatives. Design and implement employee engagement activities and internal communications to improve employee satisfaction and retention. Act as a point of contact for grievance handling —record, escalate, and coordinate resolution of employee concerns in a timely and professional manner. Administration Draft and manage official correspondence, including invitation letters for foreign visitors , communications with banks and external agencies , and ensure timely dispatch and record-keeping. Handle domestic and international travel arrangements , including flight, hotel, and cab bookings for staff, clients, and visiting associates. Support colleagues and client employees with visa-related documentation such as support letters, bank statements, and income tax returns (ITRs). Maintain and periodically update a comprehensive contact directory of vendors, service providers (cleaning, IT support, real estate agents, travel agencies), and key relationship managers. Oversee vendor management – identify and evaluate new vendors, negotiate terms , ensure timely delivery of services, and coordinate payment processing. Qualifications and Requirements : Bachelor’s Degree in any domain (preferably from a reputed Institute) Minimum 3 – 5 years of experience in administration role Personal Attributes: Strong communication skills both written and oral Good organisational skills Time management skills Highly personable with the ability to manage work and people Role & responsibilities
