Job Title: Front Desk Executive / Receptionist Department: Front Office Reports To: Front Office Manager / Assistant Front Office Manager Job Summary: The Front Desk Executive (Receptionist) is the face of the hotel, responsible for delivering a warm welcome and exceptional service to guests. This role includes handling check-ins and check-outs, managing reservations, addressing guest queries, and ensuring a smooth front desk operation that enhances the guest experience. Key Responsibilities: Greet guests with professionalism, warmth, and a smile upon arrival and departure. Perform check-in and check-out procedures efficiently using the hotel’s PMS (Property Management System). Handle guest reservations, cancellations, and modifications both in person and over the phone/email. Manage room assignments, key card issuance, and guest folio billing. Address guest requests, complaints, and queries promptly and professionally. Provide accurate information about hotel facilities, services, local attractions, and transportation. Coordinate with housekeeping and other departments to ensure room readiness and service delivery. Handle cash, card, and digital payments accurately. Maintain guest records and confidential information in accordance with hotel policies. Prepare daily reports, night audits, and handover notes for the next shift. Uphold grooming standards and maintain a neat, organized front desk area. Assist in emergency procedures and safety protocols when required. Required Skills & Qualifications: Graduate in Hospitality, Business Administration, or a related field (preferred). Experience in a front office or customer-facing role in hospitality. Proficiency in hotel management software (e.g., OPERA, IDS, Cloud PMS). Strong communication and interpersonal skills. Fluent in English and local/regional languages; additional languages are a plus. Customer service-oriented, with problem-solving and multitasking abilities. Well-groomed appearance and professional demeanor. Willingness to work in shifts, including weekends and holidays.
