Position Summary: We are seeking a highly organized, proactive, and dynamic Executive Assistant to support the CEO of our fast-paced marketing and advertising agency. This individual will be a key partner to the CEO, ensuring smooth day-to-day operations, managing communication flow, coordinating strategic initiatives, and representing the executive office both internally and externally. Key Responsibilities:Executive Support: Manage the CEO’s calendar, appointments, meetings, and travel arrangements (domestic and international). Prepare and organize materials for internal and external meetings, including presentations, briefs, and reports. Act as a gatekeeper and primary point of contact for internal and external stakeholders. Handle confidential information with discretion and professionalism. Communications & Coordination: Draft and manage communications on behalf of the CEO, including emails, memos, and other correspondence. Liaise between the CEO and leadership team, clients, partners, and agency departments. Follow up on action items discussed in meetings and ensure completion by responsible parties. Project Management: Assist in planning and executing strategic initiatives, special projects, and campaigns led by the CEO. Track progress of ongoing projects and provide status updates to the CEO. Coordinate cross-functional efforts within the agency as needed. Office & Event Support: Plan and coordinate executive-level meetings, company-wide events, board meetings, and offsites. Support occasional personal errands or tasks that intersect with the CEO’s professional responsibilities. Assist with onboarding of new executive team members as needed. Qualifications: Bachelor’s degree in Business Administration, Marketing, Communications, or related field. 3–5+ years of experience supporting C-level executives, preferably in a creative or agency environment. Strong organizational and time-management skills with the ability to prioritize and multitask. Excellent written and verbal communication skills. High proficiency in Microsoft Office Suite, Google Workspace, project management tools (e.g., Asana, Trello), and calendar apps. Ability to remain flexible, calm under pressure, and adapt to a fast-changing environment. Preferred Attributes: Experience in the marketing, advertising, or creative industry. High emotional intelligence and strong interpersonal skills. A proactive, solution-oriented mindset. Trustworthy and able to maintain confidentiality.
