Key Responsibilities: Vendor/Subscription Management: Collaborate with the third-party market subscription manager to review upcoming renewals and obtain necessary approvals. Develop a seamless subscription renewal process, including: Creating a renewal calendar. Managing weekly stakeholder check-ins for approvals as needed. Maintain and update the subscription tracker provided by the external vendor to ensure data accuracy. Handle specific subscription renewal requests by seeking confirmation from stakeholders. Onboarding & Offboarding Support: Coordinate with HR to manage the onboarding and offboarding of users. Maintain an Operating Partner (Op Partner) tracker with detailed information. Organize contracts systematically for easy access. Oversee the onboarding process for Op Partners post term-sheet negotiation, including: Sending templates for Granite Intelligence background checks and NDAs. Notifying internal teams of Operating Partner details such as title, start date, and contact information. Forwarding completed background checks and NDAs to the Granite team. Communicating operational details like payment processes, compliance training, and tech preferences to Op Partners. Data Collection & Database Maintenance: Gather and maintain centralized, portfolio-wide databases by collecting data from deal teams, including: Base case models, memos, and appendices for performance comparison. Portfolio review materials and vendor/service team references. Executive compensation data for structuring future management packages. Financial and valuation metrics for legal, compliance, finance, and communication teams. Regularly update a headcount file categorized by title, team, and industry. Collect quarterly financial forecasts and time sheets, preparing related files for annual group head reviews. Required Skills and Qualifications: Strong organizational and project management skills. Proficiency in Excel and database management. Excellent communication skills, both written and verbal. Ability to manage multiple priorities and maintain attention to detail. Preferred Experience: Background in operations, MIS, vendor management, or administrative coordination. Familiarity with financial data and compliance processes is advantageous.
