Job Overview We are seeking a highly organized and proactive Executive Assistant to the Managing Director (MD) to support daily operations, manage office functions, coordinate site activities, and ensure smooth workflow between teams. The ideal candidate will have experience in civil engineering, construction management, or a related field, with the ability to handle both office and site-related responsibilities efficiently. Working Hours- 12 hours daily (minimum) Key Responsibilities 1. Executive Support & Office Management Act as the primary point of contact between the MD and internal/external stakeholders. Manage the MD’s schedule, including meetings, appointments, and travel arrangements. Handle confidential information with professionalism and discretion. Prepare reports, presentations, and project documentation as required. Ensure smooth office operations by coordinating with different departments. 2. Site Coordination & Supervision Conduct regular site visits to monitor project progress, quality control, and adherence to deadlines. Collect daily updates from site engineers and contractors, reporting key findings to the MD. Identify and communicate any site issues, delays, or deviations from plans. Assist in resolving operational and technical challenges on-site. 3. Staff & Team Management Coordinate with architects, engineers, and site supervisors to ensure alignment with project goals. Manage staff attendance, work allocation, and productivity tracking. Support hiring, onboarding, and training processes for new employees. Act as a liaison between the MD and different teams for smooth communication. 4. Project Monitoring & Reporting Maintain project timelines, milestones, and documentation. Compile and present daily, weekly, and monthly reports on project progress. Assist in budget tracking, procurement management, and vendor coordination. Ensure all permits, contracts, and legal documents are up to date. 5. Client & Vendor Coordination Communicate with clients, contractors, suppliers, and government authorities on behalf of the MD. Manage meetings, negotiations, and follow-ups with vendors and service providers. Ensure timely submission of invoices and payments processing. 6. Compliance & Safety Monitoring Ensure all construction activities comply with industry regulations and company policies. Keep records of safety audits, quality checks, and compliance documentation. Support the MD in implementing best practices for workplace safety at sites. Required Skills & Qualifications (Preference)- Bachelor’s/Masters degree in Civil Engineering, Construction Management, Architecture, or a related field. 5+ years of experience in a similar role, preferably in a construction or consulting firm. Strong knowledge of construction processes, project management, and site coordination. Proficiency in MS Office (Excel, Word, PowerPoint), AutoCAD, and project management tools. Excellent communication, leadership, and problem-solving skills. Ability to multi-task, prioritize, and work under tight deadlines. Willingness to travel frequently for site visits and client meetings. Preferred Qualifications Experience in structural and architectural project coordination. Knowledge of Indian Building Codes, HUDA regulations, and construction safety norms. Ability to handle multiple projects simultaneously and coordinate cross-functional teams.
