The Role in a Nutshell We want someone who'll make Wortham better, not just maintain status quo. You'll be the backbone of Wortham—the person who can make creative chaos organized way. While our designers design and our content creators create, you'll make sure everything runs smoothly, deadlines are met, clients are happy, and the team isn't pulling all-nighters (unless absolutely necessary!). Think of yourself to be calm under pressure, strategic in planning, and the person everyone turns to when things need to get done. What You'll Actually Do (The Real Talk) 1. Project Management - "Everything should be in control" Oversee all projects from brief to delivery—timelines, milestones, quality checks Coordinate between design team, content team, and clients Ensure projects don't turn into "kal ho jayega" situations Track project status and keep everyone accountable (with love, not fear!) Handle multiple projects simultaneously without losing your mind 2. Client Management Be the primary point of contact for client communication Respond to client queries promptly and professionally Handle difficult conversations Manage client expectations and set realistic timelines Ensure client briefs are crystal clear before work begins Build long-term relationships that turn one-time clients into forever clients 3. Team Allocation & Resource Management - "Right Person, Right Job, Right Time" Assign projects to team members based on skills, bandwidth, and project needs Balance workload so no one burns out (we care about our people!) Identify when to bring in external help Manage team schedules, leaves, and availability Conduct regular check-ins with team members on project progress 4. Budget & Financial Management Manage project budgets and ensure profitability Track expenses—software subscriptions, freelancer payments, vendor costs Negotiate with vendors and freelancers for best rates Prepare cost estimates and quotes for new projects Monitor cash flow and ensure timely invoicing Work with founders on financial planning and forecasting 5. Process & Systems Create and maintain SOPs (Standard Operating Procedures) for smooth workflows Working with project management tools Setup file management systems. Maintain project documentation and archives Continuously improve processes based on what's working and what's not Create checklists and templates to make recurring tasks easier 6. Quality Control Review all deliverables before they go to clients Ensure brand consistency across all projects Maintain Wortham's quality standards Conduct post-project reviews to learn and improve Handle revisions and feedback loops efficiently 7. Vendor & Partner Management Coordinate with external vendors (printers, photographers, developers, etc.) Negotiate contracts and rates Maintain vendor database and relationships Ensure timely delivery from all external partners 8. Crisis Management - "Problem Solver" Handle emergencies calmly (missed deadlines, angry clients, technical failures) Make quick decisions when needed Be the person everyone trusts when things go wrong Find solutions, not excuses 9. Reporting & Analytics Track key metrics: project profitability, client satisfaction, team utilization Prepare monthly/quarterly reports for founders Analyze what's working and what needs improvement Identify bottlenecks and find solutions Who You Are (Must-Haves) Experience & Skills: 5-7+ years of operations/project management experience (preferably in creative agency, marketing, or similar fast-paced environment) Proven track record of managing multiple projects, teams, and clients simultaneously Budget management experience - You understand P&L, margins, and profitability Strong communication skills - You can talk to clients professionally and to team members empathetically Tech-savvy - Comfortable with project management tools, Google Workspace, Slack, etc. Problem-solving mindset - You see challenges as opportunities, not obstacles Organized AF - Your to-do lists have to-do lists. You love systems and processes.
