Job Description

Job Purpose

The Visa Counselor will guide clients through the visa application processes (student, tourist, work, business, etc.), ensure their documentation is complete, advise on eligibility and regulations, coordinate with relevant authorities, and monitor applications through to outcome.

Key Responsibilities

  • Meet with clients (in person / online / telephonic) to understand their visa goals, background and visa category (e.g., student, work, tourist, business). Expertia+2Expertia+2

  • Provide clear guidance to clients on visa requirements, documentation, timelines, costs, and potential challenges. Indeed+1
  • Assist clients in gathering, reviewing and preparing the required documents for submission (forms, financials, academic records, medicals if needed, etc.). resources.jobsoid.com+1
  • Submit applications (or coordinate submission) and monitor status, follow up with authorities/consulates as required. CIBT Corporate+1
  • Keep clients informed of their application status, communicate delays or issues proactively, and advise on remedial actions. Betterteam+1
  • Maintain updated knowledge of visa/immigration rules, regulations, policy changes and country-specific requirements. Spotterful+1
  • Maintain accurate records of client interactions, documentation, case progress and outcomes. Expertia
  • (Optional) Conduct mock visa interviews / prepare clients for visa­interview questions, if applicable.
  • Collaborate with other internal teams (e.g., admissions, legal, operations) and external stakeholders (immigration authorities, consulates, partner agencies).
  • Meet individual or team targets (e.g., number of cases closed, client satisfaction, application approval rate) if required.

Qualifications & Experience

Essential:

  • Bachelor’s degree (in International Relations, Law, Business Administration, Tourism, or any relevant field) or equivalent. Expertia+1
  • Experience (1-3 years or more) in visa consultancy, immigration services, study-abroad counselling, or similar role.
  • Good working knowledge of visa/immigration policy or willingness to learn quickly.

Desirable:

  • Master’s degree or diploma in immigration / migration studies / international law.
  • Certification in immigration consultancy (if relevant in the country).
  • Experience with multiple visa categories (student, work, business, family) and with different destination countries.
  • Fluency in additional languages (in Indian context perhaps Hindi/Punjabi plus English) and cross-cultural sensitivity.

  • Comfortable with technology (CRM tools, application tracking systems, document management).

  • Application submission on time percentage.
  • Client satisfaction / feedback rating.
  • Visa approval (or positive outcome) rate of cases.
  • Number of cases handled per month / quarter.
  • Accuracy of documentation (low error rate).

Working Conditions

  • Office-based, with frequent client consultations (may include online/phone).
  • Some evenings/weekends may be required depending on client availability or deadlines.
  • Must stay updated with evolving immigration laws and destination country policy changes.
