The ideal candidate should be well-versed with MS Office, GEM Portal, and various tender portals. Key Responsibilities Monitor and respond to tender-related emails daily. Maintain and update Job Order List, Sales Enquiry Tracker, and Project Tracker Sheets. Coordinate with internal teams for order confirmation, approvals, and circulation. Prepare and compile documentation including PO Summary, covering sheets, evaluation sheets, and tender documents. Verify Purchase Orders against quotations and prior communication (pricing, terms, delivery, etc.). Acknowledge Purchase Orders and follow up with clients for clarifications, amendments, or documentation (e.g., vendor code, GST updates). Manage correspondence, order intimation, and client communication. Handle scanning, numbering, and archiving of all related documents. Operate on GEM Portal for government tenders and procurement. Location: Vikhroli West, Mumbai Reporting To: Concerned Director / Admin Head Job Purpose: To manage and ensure timely processing of bills, vehicle-related tasks, housekeeping, and overall administrative responsibilities across all office locations and Directors residences. Key Responsibilities: 1. Bill Processing & Payments: Download and process all bills as per due dates to avoid penalties. Ensure bills are verified and approved by the concerned Director before forwarding to the Accounts Department. Responsible for timely payment of bills related to office locations, Directors residences, and their family members. Bill Categories Include: Electricity bills (offices and Directors residences) MTNL bills (offices and Directors residences) Mobile bills (Jio Corporate / Vodafone for offices and Directors residences) Maintenance bills (offices and Directors’ residences) Internet payments (offices and Directors’ residences) Rent payment – Office units Kailash office – Maintenance, Electricity, Property Tax Mahanagar Gas bill payments – Directors’ residences Jio Dongle payments – for Directors/Staff Credit card payments – for Directors 2. Roles and Responsibilities: Analyze tender documents thoroughly to understand technical, commercial, and legal requirements. Coordinate the complete preparation, compilation, and timely submission of tenders (both online and offline) Prioritize tasks based on defined Priority 1 / Priority 2 categories for efficient execution. Liaise closely with internal teams including Estimation, Technical, Sales, Finance, and Legal for required inputs and documentation. Ensure all tender submissions are accurate, fully compliant with client specifications, and professionally formatted. Act as the primary point of contact for clients during the tendering and post-submission stages.
