1. General Administration Maintain office and site discipline, attendance, and records. Handle employee joining forms, ID cards, and documentation. Coordinate with HR and Accounts for employee data and salary inputs. Manage travel arrangements, accommodation, and food for site workers. Ensure safety equipment (PPE) and tools are issued and recorded properly. 2. Documentation & Records Maintain employee master list, paycode details, and project deployment list. Keep records of attendance, leave, and absent details. Maintain vendor bills, vouchers, and approval registers. File and archive all project and admin-related correspondence systematically. 3. Accounts Coordination Collect signed vouchers weekly before releasing advance payments. Prepare advance request lists and ensure approval procedures are followed. Maintain petty cash records and expense statements. Support monthly account closing by submitting all vouchers and receipts on time. 4. Site & Project Support Coordinate with site in-charge for manpower requirements and movement. Arrange logistics for tools, materials, and manpower shifting. Track material inward/outward register for fabrication and erection sites. Assist in documentation for client gate passes, work permits, and ID approvals. 5. Communication & Reporting Prepare daily/weekly reports for management (attendance, work status, expenses). Communicate circulars, instructions, and new policies to all staff. Follow up with departments (HR, Accounts, Stores) to ensure smooth operations. 6. Compliance & Safety Ensure proper documentation of safety induction and PPE issue. Maintain labour compliance registers (if applicable). Support audits by providing necessary administrative records. 7. Other Supporting Roles Handle office maintenance, housekeeping, and basic procurement. Coordinate with vendors for printing, stationary, and maintenance services. Assist in preparation of project files for inspection or client meeting.
