About the Role

U.S. Bookkeeper

QuickBooks Online (QBO), Xero, Bill.com, Gusto, ADP



Key Responsibilities


  1. Daily & Weekly Tasks

  • Maintain accurate books for U.S. clients using

    QuickBooks Online / Xero

  • Categorize and reconcile bank & credit card transactions
  • Manage Accounts Payable (AP) – bills, vendor payments, 3-way matching
  • Manage Accounts Receivable (AR) – invoicing, customer follow-ups, receipts
  • Record journal entries and maintain general ledger accuracy
  • Enter expense receipts and create monthly expense summaries
  • Process reimbursements and petty cash expenses
  1. Monthly Tasks

  • Complete bank, credit card, PayPal, Stripe reconciliation
  • Run monthly reports: P&L, Balance Sheet, AR Aging, AP Aging
  • Prepare month-end closing
  • Adjust entries for depreciation, prepaids, accruals, and deferred revenue
  • Prepare cash flow statements (optional)
  1. Payroll & Compliance

  • Verify payroll reports from

    Gusto, ADP, Paychex, QuickBooks Payroll

  • Post payroll journal entries
  • Maintain 1099 vendor records and W9 documentation
  • Assist with sales tax summary preparation (if required)
  1. Client Interaction

  • Communicate professionally with U.S. clients via email, Slack, or Zoom
  • Provide weekly updates and clarify transaction queries
  • Maintain strict confidentiality and data compliance

  • Slack / Zoom
  • HubSpot / Notion / Asana (optional)


Required Skills & Qualifications

  • B.Com / M.Com / MBA (Finance) / CA Inter preferred
  • Knowledge of

    U.S. GAAP basics

  • Strong understanding of bookkeeping and accounting principles
  • Experienced with

    QuickBooks Online

    (mandatory for mid-level roles)
  • Excellent English communication (written & verbal)
  • Ability to work U.S. shift timings (partial overlap required)
  • High attention to detail, accuracy, and deadline management
  • Ability to work independently and under minimal supervision


Preferred (Good to Have)

  • Experience with U.S. clients or U.S. accounting processes
  • Experience using Bill.com, Gusto, ADP, Paychex
  • Understanding of 1099s, W9s, 941/940 payroll forms
  • Experience with e-commerce bookkeeping (Amazon, Shopify, Stripe, PayPal)
  • Knowledge of sales tax basics (U.S. state tax)
  • Familiarity with accrual accounting
