Role : Traveldesk Mnagement Support Designation : Associates Department : Infrastructure & Facilities Location : Kolkata Qualification : Graduate Job description: 1. Travel and Accommodation Management - Hotel Booking: Manage reservations for employees and guests. - Guest House (GH) Booking: Oversee bookings and maintenance of company guest houses. - Air/Train Ticket Booking: Arrange travel tickets for employees and visitors. - Cab Booking: Coordinate cab services for local transportation needs. - Travel Bookings: Consolidate and manage all travel-related bookings (hotels, flights, trains, cabs). 2. Transportation and Vehicle Management - Company-Owned Vehicle Tracking: Monitor daily fuel consumption and usage of company vehicles. - Transport Billing: Manage billing and invoicing for transportation services. - Vehicle Maintenance & Compliance: Ensure vehicles are serviced regularly and comply with legal requirements. - Company Vehicle Allocation: Assign vehicles for official use as needed. - Female Employees Transportation Report: Generate weekly reports on transportation services provided to female employees. - Talent and Visitors Parking Management: Manage parking spaces for employees and visitors. 3. Facility and Event Management - In-House Functions: Organize and manage internal company events. - In-House Events: Coordinate logistics for events held on company premises. - F&B and Caf Services: Oversee food and beverage services for employees and guests. - Support for Events, Training & Conferences: Provide logistical support for company events, training sessions, and conferences. 4. Administrative and Operational Support - MIS (Management Information System): Maintain and report data on in-house vehicles, cab bookings, air/train tickets, GH bookings, ID cards, and hotel bookings. - Guest House Supplies Management: Track stock levels of office supplies and place orders as needed. - Guest House Repairs: Manage maintenance and repair of guest house facilities. 5. Reporting and Compliance - Female Employees Transportation Report: Weekly reporting on transportation services for female employees. - Vehicle Compliance: Ensure all vehicles meet regulatory and safety standards. - Transport Billing Reports: Generate and maintain records of transport-related expenses. 6 . Miscellaneous Tasks - Talent and Visitors Parking Management: Allocate and manage parking spaces for employees and visitors. - Stock Management for Guest House: Ensure adequate supplies are available for guest house operations. - Adherence of company travel policy. Qualifications: - Basic MS excel - Excellent communication and interpersonal skills. Key Attributes: - Attention to detail and accuracy. - Ability to work under pressure and meet deadlines. - Strong problem-solving skills and proactive approach.
