Travel Desk Executive

Job Summary

The Travel Desk Executive will be responsible for managing, coordinating, and executing all travel-related activities for employees and clients. This includes flight bookings, hotel reservations, transportation arrangements, visa processing, travel reimbursements, and ensuring compliance with company travel policies. The role requires strong coordination skills, attention to detail, and the ability to work in a fast-paced environment.


Key Responsibilities

Travel Coordination

• Arrange domestic and international travel (flights, hotels, cabs, trains, travel insurance, etc.).

• Ensure bookings are cost-effective while meeting employee needs and company budgets.

• Maintain updated travel itineraries and communicate schedules to travellers.


Vendor & Partner Management

• Liaise with travel agencies, hotels, airlines, and other service providers.

• Negotiate corporate rates and maintain relationships with vendors.

• End-to-End coordination of logistics and transfer of kits to venue.


Documentation & Compliance

• Handle visa applications, passport renewals, travel insurance, and related documentation.

• Ensure compliance with organizational travel policies and expense limits.

• Maintain accurate travel records, invoices, and documentation for audit purposes.


Employee Support

• Provide 24/7 support for urgent travel changes or issues (as needed).

• Assist employees with travel guidelines, policies, and documentation.


Required Skills & Qualifications

• Bachelor’s degree in any discipline.

• 1–4 years of experience in corporate travel management (preferred).

• Strong knowledge of travel booking platforms.

• Excellent communication and coordination skills.

• Ability to multitask and work under pressure.

• Proficiency in MS Office (Excel, Word, Outlook).

• Strong negotiation and vendor management skills.
