Job Description

Role & responsibilities

The objectives of the function are achieved through the following core tasks:

Acquiring Information

  • Processes internal requests to provide certain information.
  • Contacts various information suppliers (publishers, manufacturers, and customers) to ensure the availability of this information.
  • Collaborates with the purchasing department to place orders within his/her work area (information, stamps, etc.).
  • Proposes improvement actions regarding the management of information and qualifications.

Providing Information

  • Ensures information is made available to the user and proposes improvement actions in this regard.
  • Informs and supports users to access and ensure the availability of the provided information.
  • Manages the archiving of information in accordance with applicable procedures.
  • Organizes the digitization of certain information within the specified timeframe.

Access/License Management

  • Monitors the accesses of operational staff and takes necessary steps if they are about to expire.
  • Prepares internal licenses and distributes them after validation.

REQUIRED KNOWLEDGE

  • Higher secondary education level or equivalent through experience.
  • Knowledge of MS Office and the ERP system within his/her activity domain.
  • Good oral and written communication skills.
  • Knowledge of the structure of the internal Documentary System.
  • Precise and systematic work.
  • Good organizational skills.

AUTONOMY AND COMPLEXITY

  • Autonomous in the function after 6 months.
  • Organizes, controls, and distributes his/her work independently and refers to the hierarchy in case of problems.
  • Independently requests information and documentation from various suppliers based on internal client requests.
  • Formulates ideas for improving the operation of the department/function.

RESPONSIBILITY

  • Ensures correct archiving.
  • Ensures good and efficient administration within the department.
  • Is responsible for correct communication within his/her specific area.
  • Ensures strict adherence to quality rules in his/her specific area.
  • Works with quality and looks for improvements within his/her domain.
  • Works proactively and structurally towards customer-oriented internal services.
  • Supports various departments concerning the availability of information.
  • Structures own work.
  • Pays attention to the needs and interests of internal and external customers.
  • Ensures that the most up-to-date revision of the necessary documentation is always available.

COMMUNICATION

Internal

  • Has daily contact with all staff and departments due to internal publication of information or in the context of license management.

External

  • Regularly contacts Safran Groups foreign libraries regarding applicable standards.
  • Regularly contacts external suppliers to acquire information.
  • Occasionally contacts customers and authorities in the context of audits.
