The Stores Manager is responsible for overseeing the efficient management and operation of the stores department. This includes managing inventory levels, ensuring timely material availability, maintaining accurate records, and optimizing the storage and distribution of materials. The role also involves implementing effective stock control procedures to prevent overstocking, stockouts, and discrepancies, while ensuring compliance with safety and quality standards. Key Responsibilities: 1. Inventory Management: Oversee and manage the entire inventory cycle, including receiving, storing, and issuing of raw materials, consumables, and finished goods. Maintain accurate and up-to-date stock records using ERP or inventory management systems. Ensure optimal stock levels by monitoring minimum and maximum thresholds. Conduct regular physical stock audits and reconcile with system records. Identify and address stock variances or discrepancies promptly. 2. Store Operations & Organization: Ensure proper labeling, tagging, and organization of materials for easy identification and retrieval. Optimize the layout of the store for efficient space utilization. Ensure the safe and secure storage of goods, preventing damage, theft, or contamination. Implement and monitor FIFO (First In, First Out) and LIFO (Last In, First Out) methods as applicable. 3. Procurement Coordination: Collaborate with the purchase department to ensure timely procurement of materials. Verify the quality and quantity of incoming materials against purchase orders. Report any damaged, defective, or short-supplied materials to the procurement team. Ensure proper documentation and filing of GRNs (Goods Receipt Notes) and delivery challans. 4. Record Keeping & Documentation: Maintain accurate records of inward and outward material movements. Prepare daily, weekly, and monthly inventory reports. Ensure proper documentation for stock adjustments, transfers, and disposals. Handle documentation for audits, inspections, and compliance purposes. 5. Team Management: Supervise and guide store personnel, including storekeepers and assistants. Assign tasks and ensure adherence to store policies and procedures. Provide training on safety protocols, material handling, and record-keeping practices. 6. Compliance & Safety: Ensure adherence to company policies, safety standards, and quality regulations. Comply with statutory and legal requirements related to storage and inventory. Implement proper safety measures for handling hazardous or flammable materials. Ensure proper disposal of expired or obsolete inventory items. Key Skills & Competencies: Strong knowledge of inventory management systems and ERP software. Excellent organizational and problem-solving skills. Attention to detail and accuracy in record-keeping. Ability to manage multiple tasks and prioritize effectively. Strong leadership and team management abilities. Good communication and coordination skills. Qualifications & Experience: Bachelor’s degree or diploma in Logistics, Supply Chain Management, Business Administration, or a related field. 5+ years of experience in store management, preferably in a manufacturing environment. Proficiency in inventory management software and MS Office. Familiarity with ISO standards and audit procedures is an added advantage. KPIs (Key Performance Indicators): Accuracy of inventory records. Reduction in stock variances and wastage. Timely material availability and minimal stockouts. Efficient space utilization and stock turnover. Compliance with safety and audit standards. Work Environment: Primarily based in the warehouse or stores area of the manufacturing plant. May require occasional interaction with the procurement, production, and quality control teams.
