We are looking for a Senior Executive – Administration, who will be responsible for office setup, travel coordination, and facility management. The role involves ensuring smooth administrative operations, vendor management, compliance adherence, and cost-effective solutions for office infrastructure and travel arrangements. Job Description: Office Setup & Infrastructure Management: Plan and execute new office setups, including vendor selection, procurement, and space management. Ensure proper workplace infrastructure, seating arrangements, and safety measures. Coordinate with IT and security teams for office readiness. Oversee office relocations and renovations. Travel & Logistics Management: Manage domestic and international travel bookings, including flights, hotels, and transport. Negotiate with travel agencies and vendors for cost optimization. Ensure travel policies and guidelines are followed. Process travel reimbursements and maintain travel records. Facility & Vendor Management: Supervise facility maintenance, housekeeping, and security services. Liaise with vendors for office supplies, pantry, and equipment procurement. Monitor contract renewals and ensure service level agreements (SLAs) are met. Ensure workplace hygiene, safety, and compliance with local regulations. Administration & Compliance: Maintain administrative records, agreements, and documentation. Ensure compliance with statutory requirements related to office premises. Handle emergency preparedness, fire safety drills, and risk management procedures. Support budgeting and cost control for administrative expenses. Required Skills & Qualifications: Bachelor's degree ,. 4-5 years of experience in recruitment, preferably in the fintech or BFSI sector. Other Skills: Strong negotiation and vendor management skills. Knowledge of office infrastructure planning and facility operations. Proficiency in MS Office (Excel, Word, PowerPoint). Excellent organizational and problem-solving skills.
