Role & responsibilities Provide administrative support to site managers, project managers, and other staff as required. Maintain and organize site office documentation, including contracts, permits, reports, and plans. Prepare and update project schedules and assist with planning. Manage communication between the site team and external vendors, clients, and stakeholders. Ensure site office supplies and equipment are adequately stocked and functional. Assist in organizing site meetings, recording minutes, and following up on action items. Handle correspondence, including emails, phone calls, and mail. Monitor and track project-related expenses, budgets, and invoices. Ensure compliance with health and safety regulations on-site by maintaining necessary documentation and records. Assist with onboarding new employees or contractors to the site and ensuring proper documentation is completed. Perform general office duties such as filing, photocopying, and data entry. Support the preparation and submission of daily, weekly, or monthly progress reports. Preferred candidate profile High school diploma or equivalent (Associates degree or higher preferred). Proven experience in an administrative or office assistant role (experience in construction or site administration is a plus). Strong organizational skills with the ability to multitask and prioritize. Excellent communication skills, both written and verbal. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Ability to maintain confidentiality and handle sensitive information. Knowledge of basic office equipment and operations. Strong attention to detail and accuracy in record-keeping. Ability to work effectively under pressure in a busy site environment.
