Job Title: Process Coordinator / Back Office Coordinator Location: Laxmi Road, Sadashiv Peth, Pune Job Summary: The Process Coordinator is responsible for overseeing and streamlining order management and delivery processes. This role ensures that each order flows smoothly from intake through to final delivery by coordinating with various teams, maintaining accurate records, and providing excellent customer service. Key Responsibilities Order Tracking & Coordination: Manage the end-to-end order process, ensuring smooth communication between departments. Update order details in the tracking system daily, verifying accuracy and completion. Conduct daily order review meetings with team members to ensure real-time tracking and resolve any order-related issues. Inventory & Material Management: Monitor and update inventory levels, ensuring availability of materials for orders. Coordinate with vendors and ensure timely procurement and supply of materials as required for specific orders. Production Coordination: Communicate order specifications to the production team for accurate and timely fulfillment. Track production stages to ensure orders are completed on schedule. Conduct quality checks to maintain consistency and accuracy before delivery. Customer Communication: Provide timely updates to customers on their order status. Work with the sales team to address any customer inquiries and resolve order-related issues. Process Improvement: Identify areas for improvement within the order-to-delivery process and propose solutions to enhance efficiency. Maintain accurate records and prepare daily/weekly tracking reports for management review. Key Skills and Qualifications Education & Experience: Bachelor’s degree or relevant diploma in Business Administration, Supply Chain Management, Retail Management, or related field. 1-2 years of experience in process coordination, order management, or production planning. Technical Skills: Proficient in MS Office (Excel, Word), Google Sheet, Google Workspace and familiarity with data entry tools. Core Skills: Strong organizational skills with the ability to multitask and prioritize. Excellent communication skills for coordinating across departments and customer interactions. Detail-oriented with a focus on accuracy and quality control. Problem-Solving: Ability to identify process issues and implement solutions for timely order fulfillment. Proactive mindset with flexibility to adapt to changing requirements.
