Job Description


We are seeking a highly organised, detail-oriented Virtual Administrative & Operations Assistant to provide comprehensive administrative, reporting, and executive support across multiple UK-based businesses.

The successful candidate will work closely with the Director on a day-to-day basis, supporting schools finance reporting, general administrative tasks, research, and light social media content support.

This is a long-term, full-time position requiring excellent English communication skills, strong spreadsheet proficiency, a proactive attitude, and the ability to learn new processes quickly.


A. Schools Finance Reporting (Core Function):

  • Prepare monthly and termly school financial reports (training provided).
  • Work confidently with spreadsheets, including formulas, reconciliations, and data validation.
  • Enter, clean, and organise financial data accurately.
  • Assist in preparing budget monitoring documents and other school finance templates.
  • Meet reporting deadlines, with workload increasing during the first two weeks of each month.
  • Maintain organised folders and records for each client.


B. Homecare Agency Administrative Tasks:

  • Assist with internal documentation, forms, and templates.
  • Maintain and update spreadsheets, compliance trackers, and scheduling data.
  • Prepare reports, summaries, and internal checklists as directed.
  • Manage data entry and records related to homecare operations.


C. Social Media Support (Light Duties):

  • Assist in preparing simple content for social media platforms (templates and guidance provided).
  • Maintain a basic posting schedule, if required.


Skills & Competencies Required


Technical Skills:


  • Advanced spreadsheet skills (Excel) essential.
  • A comprehensive understanding of accounts is essential, with the ability to manage budgets, monitor expenditure, and ensure accurate financial reporting.
  • Strong computer literacy across Office or Google Workspace tools.
  • Ability to prepare clear and polished documents, reports, and summaries.
  • Familiarity with basic social media platforms is an advantage.

  • Excellent written and spoken English.
  • Strong organisational and time-management skills.
  • Ability to handle sensitive information with confidentiality.
  • High accuracy and a strong eye for detail, especially when working with numbers.
  • Proactive, reliable, and able to work with minimal supervision.
  • Quick learner capable of understanding new systems and processes.


Shift Time :

1.00 to 10.30 pm IST in summer and 2.00 to 11.30 pm IST in Winters.
