Job Description

Job Summary:

The Secretary to the Executive Director provides high-level administrative, organizational, and coordination support to the Executive Directors office. This role ensures smooth day-to-day functioning of the Executive Office, manages communication flow, coordinates meetings, handles confidential information, and assists in operational tasks that support the leadership team of Pride Hotels.

Key Responsibilities:

1. Executive Administrative Support

  • Maintain the Executive Director’s calendar; schedule meetings, appointments, travel, and hotel arrangements.
  • Prepare meeting agendas, minutes, presentations, and follow-up action trackers.
  • Draft letters, emails, reports, and official communication with high accuracy and confidentiality.
  • Organize files, documents, and digital records for efficient retrieval.

2. Communication & Coordination

  • Serve as the primary point of contact between the Executive Director and internal/external stakeholders.
  • Manage and screen phone calls, emails, and correspondence; respond on behalf of the ED when appropriate.
  • Coordinate with department heads, hotel units, corporate office teams, and external partners.
  • Handle guest relations, VIP visits, and stakeholder meetings as required.

3. Office Management & Operational Support

  • Support the ED in monitoring key operational updates, reports, and deadlines from various departments.
  • Track and follow up on tasks assigned by the Executive Director to teams.
  • Organize travel itineraries, expense reports, reimbursements, and other office administration work.
  • Assist in preparing business presentations, MIS reports, and data summaries for review.

4. Confidentiality & Professionalism

  • Manage sensitive information with the highest level of discretion.
  • Ensure professionalism in communication and interactions at all levels.
  • Uphold organizational policies, brand values, and the standards of Pride Hotels.

Required Qualifications & Skills:

Education

  • Graduate in any discipline.

Experience

  • 3–7 years of experience as Executive Assistant/Secretary in hospitality, corporate, or similar environment.
  • Experience working with senior leadership/executives is highly desirable.

Skills

  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and handle pressure professionally.
  • High level of discretion, integrity and customer service orientation.
  • Strong interpersonal skills and teamwork mindset.
