Job Description

Below is a summary of the key responsibilities and scope of work handled by the Department Secretary:

  • Billing Processes:

    Preparation, verification, and coordination for all departmental both internal and external billing activities.
  • Vendor Management:

    Maintaining vendor records, assisting in onboarding, renewals, and ensuring timely follow-ups for payments and documentation.
  • Contracts Management:

    Support in the drafting, review, renewal, execution, and filing of contracts.
  • BOH Administration:

    Overseeing back-of-house (BOH) administrative duties including document control, communication management, and logistical coordination.
  • SAP Handling:

    Processing requisitions, payments, tracking, and coordinating with the finance and contracts teams for approvals and payments.
  • MIS & Tracker Maintenance:

    Preparing, updating, and circulating various MIS reports and trackers to monitor departmental progress and deliverables.
  • Cross-Department Coordination:

    Liaising with internal departments such as Finance, HR, Hotel Ops and Procurement for documentation, payment processing, and administrative requirements.
  • External Coordination:

    Following up with Architects, Consultants, and other external stakeholders on project-related documentation, submissions, and approvals.
  • HRMS & Administrative Support:

    Managing HRMS updates for the department and assisting team members with administrative tasks as required.
